Plan vs actual and profit alerts

Compare a job's budget to what has been spent by section, and get alerts when cost or margin crosses your lines.

Plan vs actual shows a job’s quote-based budget against the cost recorded so far, section by section. It also lists jobs that crossed an alert line.

Where to find it

Finance & Reports → Plan vs actual, or Field work → Plan vs actual. You need the right to see money.

What the numbers mean

“Budget is the quote’s own cost. ‘Actual’ is cost recorded so far; labor and other costs are not split by section, only purchased materials are.” That is the screen’s own wording.

Steps

  1. Open Plan vs actual. At the top is Profit alerts. Each row says Over budget level or Margin under target. Tap a row to open that job.
  2. Or pick a job in Choose a job….
  3. Read the headline: “$ actual of $ planned” and the percent used, with a bar. The bar turns red at or past the alert level.
  4. Read the table: Section, Budget, Actual, Used. It includes a row for Job changes & extra work and a row Other (labor and anything not in a section).
  5. To tune alerts for this job, set Alert at % of budget and Margin floor %, then tap Save for this job.

Company alert setting

If you can manage the team, tick Email managers one digest when a job crosses its line. The company default lines are shown below it.

Tips

  • Sections, job changes and “other” add up to the total.
  • The alert source is shown in brackets after the level, telling you whether the number is the company default or this job’s own.
  • Use Job profit for the full labor, material and revenue view.

If something goes wrong

  • Section actuals look low. Only purchased materials are assigned to sections. Labor shows in “Other”.
  • No jobs in the picker. Only signed quotes appear.
