Overhead budget: work out your overhead per labor hour

Enter a year's overhead, billable hours and target profit, then choose whether to use the results on new quotes.

The Overhead budget (a year) card turns your yearly overhead into a rate per labor hour, and suggests a markup. Nothing changes until you tap “use this”.

Where to find it

At the bottom of Plan vs actual. It shows for people who can manage the team or edit service templates. A “Show me” setting can hide it until you switch the tool on.

Steps

  1. Open Plan vs actual and scroll to Overhead budget (a year).
  2. Fill in:
    – Year
    – Overhead $ for the year
    – Billable labor hours
    – Target profit $
  3. Tap Work it out.
  4. Read the result: Overhead per labor hour, profit per hour, Overhead as a % on direct cost (with the percent you use now), and Suggested markup.
  5. To use the percentage on new quotes, tap Use this. A prompt reminds you it changes new quotes only. Quotes and invoices already made keep their numbers.
  6. To use the suggested markup on templates, tap Use for service templates…, tick the templates, and apply. Each ticked template is saved as a new version.

Formula in plain words

Overhead dollars divided by billable hours gives overhead per labor hour. The percent on direct cost needs a labor rate to be set.

Tips

  • Use real totals from last year.
  • Billable hours are hours you charge for, not total hours paid.
  • Revisit once a year.

If something goes wrong

  • “Needs a labor rate.” Set Labor cost per hour ($) in Settings → Costs.
  • No templates listed. You have not created service templates yet.
