The invoice reminder plan

Set up automatic reminders before, on and after the due date, by email, text or both.

A reminder plan is a list of automatic messages tied to the due date. Reminders stop the moment the invoice is paid.

The starting plan

Out of the box the plan has six reminders:

When By On?
3 days before due Email On
On the due date Email + text On
3 days after Text On
7 days after Email + text On
14 days after Email On
30 days after Email Off

Change the default plan

  1. Go to Settings → 🧾 Invoice design.
  2. Scroll to ⏰ Default reminder plan.
  3. On each row use the tick box to switch it on or off.
  4. Set the number of days and choose before due, on the due date or after due.
  5. Choose email, text or email + text.
  6. Tap Edit message to change the wording. Merge codes you can tap: First name, Customer, Invoice #, Title, Amount, Due date, Days late, Days until due, Pay link, Your company, Your name.
  7. Tap + Add a reminder for another row (up to 12 in total).
  8. Tap Save invoice design.

Use Send me a test under a message to send it to yourself first.

Change the plan for one invoice

In the invoice editor open ⏰ Reminders & messages and choose:

  • My default plan
  • Custom for this invoice
  • No reminders

Rules to know

  • Reminders go out at 10 am in your website’s time zone.
  • Only invoices with status Sent get reminders.
  • If a reminder’s time was already past when you sent the invoice, it is skipped. One missed by more than two days is also skipped.
  • Texts never go out overnight. A text held for quiet hours waits for the morning.
  • “Reply STOP to opt out” is added to texts automatically. Texts are kept to 600 characters.
  • Texts need text messaging set up and a plan that includes it. Without it, a text reminder falls back to email only.
  • Reminders pause while your own subscription is suspended.

Tips

  • Keep the tone friendly early and firmer after two weeks.
  • Give a phone number in the message so people can call.

If something goes wrong

  • No reminders arrived. Check status is Sent, the customer has an email, and the plan is not set to “No reminders”.
  • A text did not go. See quiet hours above, and check the customer’s mobile number.
