Card reader and Tap to Pay

What the Hub's Card reader page does, and what needs the phone app: payment requests and recording card payments.

The Card reader page helps you take card payments in person. Read this first: a web page cannot read a card. Tap to Pay on iPhone or Android and Bluetooth readers need the VisionScaper phone app, which uses Stripe’s Terminal software. The Hub page sets things up, makes the request the phone collects, and shows what Stripe confirmed.

Before you start

  • Card reader is a plan feature.
  • The site owner needs a Stripe key set. You need a ready Stripe account. See “Connect your Stripe account”.
  • The tools the phone app itself uses to read a card are not part of this web code, so this manual does not describe the phone screens.

Set up (owner)

  1. In the Hub open Finance & Reports → Card reader.
  2. In Setup, tick Card reader is on.
  3. Open Where do you take payments?. Fill Place name, Street, Town, State, ZIP code. Tap Save the place. Stripe needs the address your reader is based at. It is only used to register the reader.
  4. When it says “Ready. The phone app can now take card payments”, you are set.

Only the owner can change these settings.

Ask for a card payment

  1. Under Ask for a card payment, choose an Invoice. Only sent invoices with a balance are listed.
  2. Optional: type an Amount ($). Leave it empty for the whole balance.
  3. Tap Make the payment request.
  4. Open the phone app, choose this payment, and tap or insert the card there.

The invoice is not marked paid until Stripe confirms the charge. The page then shows Paid. A request can be cancelled while it says Waiting for the card. A request that is stuck shows Needs your attention: check your Stripe account.

Record a card payment you already took

For a card you charged on another machine:

  1. Under Record a card payment you already took, choose the Invoice.
  2. Enter Amount charged ($). It cannot be more than the balance.
  3. Optional: Last 4 digits of the card, Approval code, Date taken, Note.
  4. Tap Record this payment.

It is saved as “recorded by you, not checked with Stripe”. Never type a whole card number.

Card payments list

Card payments lists requests and payments. A voided record shows as Voided.

Tips

  • Money goes to your Stripe account with the same fee setup as online payments. The fee shown is a placeholder, not approved.
  • Refunds are made in your Stripe dashboard. Voiding a record here does not send money back.

If something goes wrong

  • “You have no sent invoices with a balance.” Send an invoice first.
  • Make the payment request is greyed out. Setup is not finished. Read the line that starts “Not ready yet”.
