The crew app: My day, Time and Messages
What a crew member or crew leader sees on the phone, how job status buttons work, and who they can message.
On this page
Crew members and crew leaders get a deliberately small phone: three tabs. Nothing on it shows a price. Jobs come from the same field routes as before, which already leave money out.
The three tabs
- My day: your jobs, by day.
- Time: your week of hours.
- Messages: chat with the office. This tab only appears if the owner allows it for your role (the permission is “Send and read messages with the office (crew app)”).
Everything else in the app stays reachable only by its old address, so a crew phone stays simple.
My day
- Jobs are listed by day with a running timer and a “clock in without a job” option.
- A map shows jobs that have a stored map point. Nothing is guessed. Jobs without a point are listed only.
- The connection line and any unsent or refused changes are always visible.
Job status buttons
On a job you will see: On my way (it can send the customer a text or email from your Contractor Hub template), Arrived, Start, Pause, Resume, Blocked (asks for a reason), Needs follow-up (asks for a reason) and Finish. Required checklist items must be done first. A manager can override with a reason. Approve, Send back and Reopen show only if the website allows them for that person.
The job packet
Work scope, included and excluded items, instructions, equipment, proposal sections and site notes (gate, pets, utilities, irrigation). You can open directions in Apple Maps, Google Maps or Waze, and call or text the customer.
Checklists, photos, materials and issues
- Checklists and forms support tasks, yes/no, numbers, short answers, pick-one, photo items, signatures and conditional questions. Each item can take a note or a “can’t do this” reason.
- Photos come from the camera or library, are shrunk on the phone to 2048 px JPEG, wait on the phone until uploaded, and are sorted as before, progress, after or damage.
- Materials can be recorded as used or bought.
- Issue reports (with a photo) alert the office and can mark the job blocked.
- Crew leaders have a Crew clock to clock several people in or out in one tap. Each person gets their own time entry, marked as entered by the leader.
Time
A week view with totals. You can correct entries with a reason, add missed time, and submit the week. Approved weeks are locked by the website.
Messages
- Crew and leaders can write to the office (the owner and managers) and nobody else. The office can write to anyone on the team who has a login.
- These are the company’s own team threads, the same ones the Hub’s Messages screen shows the office. Customer threads are never listed.
- A message is limited to 1000 characters (“Keep it under 1000 characters. Send it as two messages.”), and an empty message is refused (“Write a message first.”).
- If you send very fast you may see: “You’re sending messages very quickly. Please wait a few minutes.” (120 messages an hour.)
- A retry never sends twice: each message carries a one-time code.
- Opening a conversation marks it read. The tab shows an unread badge.
Tips
- The owner can switch crew messages off per role in the team permissions.
- Take the before photo first. The upload waits if you have no signal.
If something goes wrong
- “Messages are switched off for your role. Ask the owner.” The owner turned the permission off.
- “You can’t message this person from here.” Crew can only message owner and managers.
- A job will not finish: a required checklist item is missing. Complete it or ask a manager to override.
