Landscape software integrations and API
Send invoices and payments to QuickBooks Online or Xero, take card and bank payments through your own Stripe account, and link anything else with scoped access keys, a REST API and signed webhooks.
Some connections are set up once by the person who runs your website. The Help Center walks through every step.
Accounting: QuickBooks Online and Xero
In QuickBooks Online you connect with a sign-in, using an app you create in Intuit’s developer area. Customers sync first, and you choose whether data moves into VisionScaper, out of it, or both ways. A second switch sends your invoices and payments to QuickBooks every hour and whenever something changes. Your service templates become Items, sent invoices become Invoices, and payments you record become Payments. Payments made in QuickBooks come back too, and approved expenses can go as well.
Nothing is ever deleted in QuickBooks. A cancelled invoice is voided with the reason in the note. If the same record changed on both sides, nothing is overwritten: it lands on a Needs review list where you pick which version to keep. QuickBooks Desktop is not supported, so use CSV import and export there.
Xero works in one direction. VisionScaper sends customers, invoices and payments to Xero and does not read Xero back. You pick the Xero sales account and bank account, and a rejected record is parked with the reason until you fix it and try again. Xero is a plan feature, and Xero charges for its own plan.
Payments with Stripe
From Settings, Get paid online, you press Connect with Stripe and finish Stripe’s own form. Customers then see pay buttons on your invoices. They can pay by card, Apple Pay or Google Pay, or by bank account (ACH), which clears in about four business days.
The money goes straight to your Stripe account, so payouts and refunds live in your Stripe dashboard. Autopay and Instant Payouts are optional extras that the person who runs your website must switch on. Stripe’s fees apply, so check Stripe’s current rates. The connection creates a Stripe Express account for a US business.
Google contacts, maps and calendar
Google Contacts can import into your customer list and export back out. You can limit it to one Google label, so family and friends stay out of your CRM, and exported customers go into a VisionScaper label.
Google Maps keys are optional. With them you get Google address search and driving distances in the route planner. Without them, address search uses OpenStreetMap and the planner estimates miles.
Calendar works as a private feed, not a sign-in. Each person gets a link that Google Calendar, Apple Calendar or Outlook can subscribe to, and anyone with that link can see appointment times. If it leaks, make a new link and the old one stops working. Contacts and calendar feeds work alongside the customers you already keep in VisionScaper.
Zapier triggers and actions
Zapier can start a Zap when one of six things happens: a new lead, a customer added, a quote sent, a quote accepted, a job completed or an invoice paid. A Zap can also add a lead, add or update a customer, or search customers by email.
The simplest route is Webhooks by Zapier with a Custom Request and an access key. If you want instant triggers, you can build your own private Zapier app using the subscribe and sample routes that VisionScaper provides. The Help Center describes both.
Access keys, scopes and the REST API
Under Settings, Zapier and API keys, you make a named key for each tool, such as Zapier or a reporting sheet, and tick what it may do. The scopes are: look at customers and leads, add and change customers, look at quotes, look at invoices, look at jobs, add new leads, look at payments, and set up alerts. The full key is shown once and can be turned off at any time. You can have up to 20 active keys.
Keys go in a Bearer authorization header. The API lists customers, quotes, invoices, jobs and payments newest first, with cursor paging, an updated-since filter, and customers and leads you can write to. Quotes, invoices, jobs and payments are read-only. Requests that change data accept an Idempotency-Key, so a retry never creates a duplicate.
API access is a plan feature, and which plans include it, along with the hourly request limit, is not final. Check the pricing page or ask us through the contact page. The API and setup guides cover routes, errors and rate limits in detail.
Signed webhooks (alerts) and retries
Alerts to other tools send a signed message to a web address you choose whenever one of the same six events happens. Lead alerts go out as the lead arrives. The others are found by a check about every five minutes, so they can be that late.
Each message carries an HMAC-SHA256 signature built from a timestamp and the raw body, with examples in PHP, Node.js and Python in the Help Center. Reject anything more than five minutes old.
If your server does not answer with a 2xx status, VisionScaper retries after 1 minute, 5 minutes, 30 minutes, 2 hours and 6 hours, then marks the delivery as gave up. After 10 failures in a row the alert switches itself off and tells you. A log shows the last 50 tries, and you can send a test or retry a failed delivery.
Questions about connecting VisionScaper
No. Only QuickBooks Online is supported. For QuickBooks Desktop, export and import CSV files.
No. Xero is one-way: VisionScaper sends customers, invoices and payments to Xero and does not read Xero back.
For QuickBooks, Xero and Google you create a small app in the provider’s developer area and paste its keys into VisionScaper. Stripe uses a Connect with Stripe button. The person who runs your website may do some of this once for you.
Not decided yet. API access and its hourly request limit depend on the plan and are not final, so see the pricing page or ask us through the contact page.
Not today. You can add and change customers and add leads. Quotes, invoices, jobs and payments can be read.
