Purchasing & Inventory

Landscaping purchase order and inventory software

Turn a job’s material list into a purchase order, record what arrives, enter supplier bills and keep stock counts for the shop and every truck. Purchases land on the job, not in a separate system.

Supplier bills and inventory depend on your plan. See the pricing page for what each includes.

Purchase orders from a job

Add a vendor, tap New purchase order and pick a won job. Its material list is copied onto the order, so mulch, stone and plants from the quote become order lines. Or leave the job blank and type each line by hand: item, quantity, unit and unit cost.

Create the draft, check it, then tap Send to vendor. The order is emailed to the vendor’s address. If the vendor has no email, the order is marked sent and the screen tells you nothing was emailed. Orders move through Draft, Sent, Partly received, Received, Billed, Closed or Voided.

Vendors and supplier terms

A vendor record holds the contact person, the email where orders go, phone, your account number with them and their terms, for example Net 30. Archiving a vendor keeps its old orders.

Terms do real work. When you leave a bill’s due date blank, VisionScaper works it out from the vendor’s terms: Net 15 means 15 days, due on receipt or COD means 0, and anything else is treated as 30.

Receive deliveries and close the order

When the truck arrives, open the order, tap Receive a delivery and type what actually came on each line. More than ordered needs a reason in the Why extra box, and a short line needs Why short. Tick That is everything if the order is complete, then save. The phone app can attach a photo of the delivery ticket.

A Deliveries list shows who received what and when. People who only receive do not see prices. Close finishes an order, and voiding asks for a reason and is logged.

  • Partial deliveries keep the order open
  • Extras and shortages are explained, not guessed
  • Received value feeds the job’s material cost

Enter and approve supplier bills

Enter each bill the supplier sends: supplier, bill number as printed, bill date and due date, an optional purchase order and job, and the lines and tax. The same supplier and number cannot be entered twice. Save it as a draft or approve it straight away.

Approved bills count toward the job’s cost. A bill tied to a purchase order replaces the order’s received value, so nothing is counted twice. A bill tied only to a job is a direct cost of that job. Drafts and voided bills never count.

Once a bill is approved you record the payment you made: amount, how, date and a reference such as a check number. VisionScaper only records payments. It never sends money. The list shows what is left to pay, what is past due and what is due soon. An owner can require that a different person approves than entered, and a small shop is never locked out. The result shows up in job costing.

Stock counts in the shop and on trucks

Inventory tracks mulch, stone, plants, fittings and tools. Start by adding places: a shop or yard, a truck or trailer, or other. Then add items with a unit, what each costs you, the supplier, a reorder level and a usual quantity, and type how many you have now.

After that you can count (I counted, this is how many there are), add or remove an amount with a reason, move stock between places, or set some aside for a job or quote so it no longer counts as free. Every change is a new line in a history that is never edited.

The Stock tab shows on hand, available, on order and stock value at your cost. If a job used more than you recorded, the job is not blocked. The gap is listed under Not enough recorded.

Low-stock alerts and reorder drafts

An item appears on the Low tab when what is available is at or below its reorder level and it is not already on an open order. Tap Reorder this on one item, or make draft orders for everything low. You get one draft per supplier, and items with no supplier are listed as left out with the reason.

Nothing is sent by this step. You open Materials, check each draft and send it yourself. You can also export your stock list to CSV, edit it and import it back, up to 600 KB. The check shows new items, updates and any problem lines first, and nothing imports if a line has a problem.

Questions about purchasing and inventory

No. It is built for landscape materials: counts by place, set-aside stock, low-stock reorders and a history of changes. It does not claim to replace a warehouse system.

No. You record payments you have already made, such as a check number. Nothing is sent from your bank.

Received purchase orders and approved supplier bills count toward the job’s material and direct cost, so the profit you see after you send invoices includes what you actually bought.

Yes. People who only receive deliveries do not see prices, and the phone app can attach a photo of the delivery ticket.
