Settings → Terms & payments: proposal terms and payment schedule
The proposal terms box, its seven standard lines and every row, button and field of the default payment schedule.
On this page
Open the Contractor Hub, choose Settings, pick the Prices and quotes group and the Terms & payments tab. It holds the fine print shown on every proposal and the default payment schedule new quotes start with. You can still change both on each individual quote.
Before you start
- Read your own contract language or ask your lawyer to review the terms. VisionScaper supplies standard wording as a starting point only.
- Decide your payment milestones, for example a deposit and a balance on completion. The deposit percentage default comes from Costs & markups.
Fields
Proposal terms card
| Field (exact label) | What it does for VisionScaper | What to enter and example | Default / notes |
|---|---|---|---|
| Proposal terms (large text box, 12 rows) | The terms printed on every proposal above the signature line. Edit them to match your business. | Plain text, one point per line. Up to 8000 characters are kept. | When you have never saved terms the box starts with seven standard lines (listed below). |
The seven standard lines in the box when you first open it:
- Price includes all labor, materials, equipment and disposal listed in the proposal. Anything not listed is not included.
- A deposit is due when you sign; the balance is due on completion unless progress payments are listed.
- You call Call Before You Dig (811) before digging; private lines (irrigation, lighting, invisible fence, propane) are not marked by 811, so the customer must show you where they are.
- Quantities are measured from the plan; hidden conditions (ledge, buried debris, drainage problems) stop the work until a change is agreed in writing.
- Plants are guaranteed for one year from planting when watered as instructed; damage from deer, drought, storms or neglect is not covered.
- Changes after signing are made by written change order.
- Pricing is valid until the date shown.
Warning: These standard lines contain promises, such as a one-year plant guarantee. They are only a starting point and are not approved wording for your business. Change them to what you really offer.
Default payment schedule card
Each row is one payment. The rows start as a deposit and a balance.
| Field (exact label) | What it does for VisionScaper | What to enter and example | Default / notes |
|---|---|---|---|
Payment name (first box in a row) label |
The name of the payment as shown to the customer. | Text such as Deposit to schedule, Balance, or Progress payment. | Starts as “Deposit to schedule” and “Balance”. |
Percent (number box with % next to it) pct |
The share of the total due for this payment. | A number. Make all the rows add up to 100. | Starts as your Deposit when signed (%) from Costs & markups, and 100 minus that for the balance. |
When (last text box) when |
When this payment is due. | Words, e.g. when you sign, on completion. | Starts as “when you sign” and “on completion”. |
| Remove (✕ button at the end of a row) | Deletes that row. | Press the ✕. | Takes effect when you press Save. |
| + Add payment (link under the rows) | Adds another row named “Partial payment” with 0 percent and an empty When. | Press it, then fill the new row. | — |
Save
| Field (exact label) | What it does for VisionScaper | What to enter and example | Default / notes |
|---|---|---|---|
| Save (button) | Stores the terms and the whole payment schedule together. | Press once after editing. | Message “Saved.” |
Steps
- Open Settings → Prices and quotes → Terms & payments.
- Read each line in Proposal terms. Edit, delete or add lines so they describe how you really work.
- In Default payment schedule, edit the name, percent and timing of each row.
- Press + Add payment for each extra milestone. Make all percents add up to 100.
- Press Save and wait for “Saved.”
- Open a new quote and check the terms and payments on the proposal.
Tips
- Percents are not checked for you. Add them up yourself.
- You can change the terms on each individual quote. Whether editing them here changes quotes already written is not verified in code.
- Keep each term short and in plain language. Customers read these before they sign.
If something goes wrong
- My changes are gone. You must press Save. Leaving the tab without saving drops edits.
- The proposal shows old terms. Edit the terms on the quote itself.
- A row will not delete. Press Save after pressing ✕; the row disappears on screen at once but is stored only when saved.
