Quotes, invoices, payments and expenses on the phone

Start a quote on site, send quotes and invoices, record payments received, add expenses, and use the get-paid tools.

The Money place in the app shows quotes, invoices, payments and expenses. The phone never works out a price, tax or balance. Every figure comes from your Contractor Hub.

Who sees Money

Each action has its own permission:

Permission Lets a person
See quotes, invoices and payments with amounts View them (owner and managers by default)
Start a draft Start a quote draft, or an invoice from a signed quote
Send Send a quote or invoice to the customer
Record a payment Record a payment received outside the website (cash, check, other) and correct one with a reason
Add an expense Add an expense
Approve expenses Approve or reject expenses

The Money screen has sections Overview, Quotes, Invoices, Expenses and Reports, shown according to your permissions.

Steps: start a quote on site

  1. Tap + New quote.
  2. Search for the customer and tap them.
  3. A draft starts. The app says: “Draft started. Build the estimate in the Contractor Hub, then send it from here.”
  4. Build the estimate in the Hub. The Hub decides the price.
  5. Send it from the quote screen.

A retried tap makes one draft, not two.

Record a payment

Card payments are not taken on the phone. You record money you received another way. The website’s own payment link (Stripe) is unchanged. Recording a payment can be done offline and is saved once.

Expenses

Add an expense and its receipt. It waits for approval, except when the person can approve, in which case it is approved at once. Expenses can be queued offline.

Get paid tools (Overview)

  • Who owes you: tiles for current, 1-30, 31-60, 61-90 and 90+ days, then customers. Tap a customer for their open invoices, Send reminder (about one per invoice per day) and Send statement (emailed with a pay link).
  • Invoice finished jobs: pick finished, priced jobs, make one draft each (or one per customer), review, then send.
  • Payment schedule on a quote: a deposit percentage and stages. Invoice next makes a draft from the next stage. Signing never charges a card.
  • Change orders on a quote: unsigned ones say “Not counted yet”. Signed ones update the agreed price. They are voided with a reason, never deleted.
  • Autopay: on an invoice, “Charge on the due date”. The customer saves a card or bank account on Stripe’s page from My Projects. The phone never sees a card number. The whole feature is off until the owner ticks Automatic payments (autopay) in Settings → VisionScaper.
  • Payroll export: pick a Monday-to-Sunday week and share a CSV of approved timesheets. Weeks not approved are held back. It is off for managers by default.

One rule sits under all invoicing: the invoices made for a quote can never add up to more than the quote total plus signed change orders.

Walk estimate

If the owner switches on Estimate from a recorded walk in Settings, a person can dictate a property walk and review a DRAFT quote. It only uses your own services, rates and measured areas. A person reviews every line. The AI never sets a price.

Tips

  • Send reminders and statements from the app. Each carries a one-time code so a double tap cannot email twice.
  • A quote edit shows a version. If it changed, the phone reloads it.

If something goes wrong

  • A button is missing: you lack that permission.
  • “No connection. Nothing was created.” Quotes and sends need a connection.
  • A stale edit is refused with a conflict. Reopen and retry.
