Profit and loss report
See money in, costs and profit for any dates, plus a cash summary and what is owed. Download as CSV.
This is a plain report of what came in and what went out. It is a management report, not tax or accounting advice. It does not replace your bookkeeper’s books.
Before you start
- Profit and loss is a plan feature. Without it you see a locked page.
- You need the right to see company money. Owners have it. Others only if the owner gave it to them.
Open it
In the Hub, open Finance & Reports → Profit and loss. (The address ends in money/pnl.)
Steps
- Choose the dates. Type From and To, or tap a preset: This year so far, This quarter, This month, Last month, Last year.
- Choose Columns: By month, By quarter or By year.
- Choose Count money: Accrual: by invoice and bill dates or Cash: when money moved.
- Tap Show report.
- Read the three cards at the top: Money in, Costs, Profit. Profit also shows as a percent of money in.
- Read the table below. Each column is one period, with a Total on the right.
- Tap Download for a spreadsheet for a CSV file.
What is counted
- Money in (accrual): invoices that are sent, processing or paid, on the invoice date, before sales tax. Never drafts or voided invoices.
- Money in (cash): payments actually received. Sales tax is taken out.
- Costs: approved expenses by category, approved supplier bills, and crew labor from approved time at the saved cost rate.
- A purchase order is not a cost by itself. Only its bills are.
- The last line is Profit before owner pay and taxes.
What is not counted
Unapproved time, time with no cost rate, payroll taxes and benefits, depreciation, owner draws, refunds, and anything not recorded in VisionScaper. The report says so under What is and is not counted.
The cash summary
Tap the Cash summary tab for Cash in, Cash out and Net cash. Under it, Owed right now shows what customers owe you and what you owe suppliers, split into Not due yet, 1 to 30, 31 to 60 and over 60 days late.
Tips
- Use Accrual to see how a month’s work did. Use Cash to see money that moved.
- Approve expenses and supplier bills first, or they will not show.
- Send the CSV to your accountant.
If something goes wrong
- “Nothing in these dates.” No invoices, payments, bills or expenses fall inside the range. Tap Look back a year.
- Numbers differ from QuickBooks. The report counts only what VisionScaper holds.
