Connect QuickBooks Online

Create an Intuit app, paste its keys into Connected apps, and connect your company with sign-in (OAuth).

This first connection syncs your customers with QuickBooks Online. Invoices and payments are a second step: see “Send invoices and payments to QuickBooks”. QuickBooks Desktop is not supported. Use CSV import and export instead.

Note: Intuit changes its developer site often. Follow Intuit’s current instructions. Below are the VisionScaper fields and what to paste where.

Steps

  1. In the Hub open Settings, then 🔌 Connected apps. Find the QuickBooks Online card. Open 🛠️ Set-up walkthrough.
  2. Sign in at Intuit’s developer site with your QuickBooks login. Create an app for QuickBooks Online and Payments, with the scope com.intuit.quickbooks.accounting.
  3. In the app’s keys section, add the Redirect URI that VisionScaper shows you. Tap Copy beside it to copy it. For Production keys, Intuit asks you to finish a short questionnaire first.
  4. Optional, for fast updates: add a Webhooks endpoint using the address VisionScaper shows (with the Customer entity). Intuit gives you a verifier token. Paste it into Security key in VisionScaper.
  5. Paste the Client ID and Client secret into VisionScaper.
  6. Pick QuickBooks company: Production (my real company) or Sandbox (testing). Keys must match.
  7. Choose How data moves: Import only (into VisionScaper), Export only (from VisionScaper) or Both ways (changes go each direction).
  8. Tick Update automatically every hour if you want that. Leave Pass on deletions off unless you are sure (off is safer).
  9. Tap Save settings, then Connect QuickBooks Online. Sign in and choose your company.

Your keys are stored encrypted and never shown again. A saved secret shows as dots. Leave it blank to keep it.

After connecting

The card shows “Connected to” your company, the mode, and the last update. Buttons: 🔄 Update now, ⬇️ Import only, ⬆️ Export only. Use Disconnect to revoke access and delete the saved keys. Customers stay in both places.

How the connection stays alive

Access lasts an hour and VisionScaper refreshes it before each call. The refresh key rolls. If Intuit refuses it, the card says QuickBooks needs you to reconnect. Tap Reconnect. Nothing is lost.

Note: The QuickBooks card still says “Customers only for now (invoices and payments later).” That text is older than the money sync. The separate Send to QuickBooks card handles invoices and payments.

When a customer changed in both places

Nothing is overwritten. A ⚠️ need review button opens Needs review. For each customer choose Keep VisionScaper’s, Keep QuickBooks Online’s or Decide later.

Rules for customers

  • QuickBooks needs a unique display name. On a clash, VisionScaper adds the town, then a number, and tells you.
  • Deleting is passed on only if you ticked it. Even then QuickBooks makes the customer inactive.

If something goes wrong

  • “QuickBooks didn’t accept the Client ID / secret (check Production vs Sandbox keys).” The environment and keys do not match.
  • “QuickBooks says the connection expired or was removed.” Tap Reconnect.
  • Connect is greyed out. Save the Client ID and secret first.
