The AI Quoter and “Quote it with AI”

Describe a job and get a first draft of work items, priced from your own price book, saved as a draft quote.

The AI Quoter turns a job description into a list of work with sizes. The AI never sets a price. Prices come from your own price book and costs. Every draft is a starting point. The page states: “AI drafts are starting points; review prices and quantities before sending”. Nothing is sent to the customer.

There are two places to use it:

  • The AI Quoter page, under Customers & Sales (after Quotes).
  • The Quote it with AI button inside a quote.

Before you start

  • The AI Quoter needs a plan that includes AI quote generation. Which plan is a placeholder, not approved. If it is missing you see “The AI Quoter is not part of your plan.”
  • The AI needs an AI service key (the page calls it the fal.ai key). Without it the page says “Needs setup: the AI service key is missing”, and the button does nothing. Get the key from the provider by following their current instructions, then paste it where the page’s setup note tells you.
  • A usage line shows “Usage today: N of N AI requests”. The page notes a fair-use limit. Picture credits shown are the Design Studio credits and are placeholders, not approved.

Steps (AI Quoter page)

  1. Under 1. Who is it for?, pick a customer. Optionally pick a Property and a Design from one of that customer’s quotes.
  2. Under 2. What is the job?, tap an idea chip (Mulch refresh, New planting bed, Paver patio, New lawn, Fence, Spring clean-up) or write the job in your own words.
  3. Tick Use the measured areas for sizes if the property has measurements, and Use the customer’s design if one is chosen.
  4. Tap Write the draft. It takes about 10 to 30 seconds.
  5. Under 3. Check the draft, read “What the AI assumed” and “Worth checking on site”.
  6. Edit any quantity, unit cost or line. Add your own price where a line shows it needs one.
  7. Optionally tap Polish the wording with AI. Numbers are not touched.
  8. Choose a customer if you have not, then tap Create the quote draft. It opens as a normal draft: “Draft quote created. Nothing was sent.”

Recent AI drafts lists drafts made here.

Steps (inside a quote)

  1. On the quote, tap Quote it with AI.
  2. Describe the job, tick what to use, and tap Create the quote with AI.
  3. If the estimate already has sections you are asked before they are replaced.
  4. The new sections open in Job cost (internal), with the AI’s assumptions and questions in a box.
  5. Each AI section is linked to the closest matching service template when one is found.

Tips

  • Add sizes, what to remove and what to plant. Vague descriptions give weak drafts.
  • Measure the property first for exact areas.
  • Fill in prices the draft flags.

If something goes wrong

  • “Describe the job in a sentence or two first.” Write more.
  • “The AI could not turn that into work items.” Add sizes and details.
  • The button is greyed. The plan, key or pause state blocks it. Read the banner.
