Proposal terms and the payment schedule
Edit the default terms shown above the signature and the deposit and balance schedule, then override them on a quote.
Every proposal shows your terms above the signature box, and a payment schedule. You set the defaults once and change them per quote when needed.
Where
Settings, group Prices and quotes, tab Terms & payments. It has two cards: Proposal terms and Default payment schedule.
The starting terms
VisionScaper starts you with a set of editable terms. It covers: what the price includes and that anything not listed is not included; deposit at signing and balance on completion; calling 811 before digging and that private lines are not marked by 811; hidden conditions such as ledge or buried debris being agreed in writing before work continues; a one-year plant guarantee when watered as instructed; written change orders; and the price-valid date. They are generic. Review them with your own advisor. VisionScaper does not give legal advice. Change anything that does not match how you work.
Steps: change the defaults
- Open Terms & payments.
- Edit the text in Proposal terms.
- In Default payment schedule edit each row: a label, a percent, and when it is due (for example “when you sign”). The started pair is Deposit to schedule and Balance.
- Tap + Add payment for a milestone, such as a payment when the hardscape is complete.
- Tap the x to remove a row.
- Tap Save.
Make sure the percents add up to 100. The code does not check this for you (not verified in code).
Steps: change them for one quote
- Open the quote, Customer proposal tab.
- Edit Terms (the big box) or the Payment schedule rows.
- Set Price good until with the date box.
- Save.
A new quote copies your defaults when it is first opened. Later changes to the defaults do not alter quotes already made.
What the customer sees
On the proposal page: Scope of work, the Total, a Payment schedule list, a Terms card, and the Approve & sign box. The statement beside the checkbox reads: “I agree to the scope, price and terms in this proposal and to sign it electronically. I understand my electronic signature is legally binding, the same as signing on paper.”
A fingerprint of what they agreed to
When the customer signs, VisionScaper stores a fingerprint (a hash) of the quote number, title, scope, terms, total and payment schedule. If a proposal changes while someone is signing, they are asked to reload.
Tips
- Keep the terms short and plain.
- Use milestones for big hardscape jobs.
If something goes wrong
- A quote shows old terms. Edit the terms on that quote.
- The deposit looks wrong. The deposit shown is the percent in Costs & markups. The schedule rows are the text on the proposal. Make both agree.
