Sending a proposal and customer e-signature
Send a proposal by email or text, and see how the customer views, picks add-ons, signs, and pays the deposit.
Before you start
The quote needs a customer and at least one section. If the quote has no sections you are told “Build the estimate first.” Texting needs Twilio set up. If it is not, the Send by list shows “Text message (not set up)”. Email works without it.
Steps: send
- On the quote, tap Send for signature (the main Send quote button opens the same sheet). Use Send / follow up for a plain send. If the quote has unsaved changes it saves first.
- Under Send to tick the contacts. The first contact is ticked. Use + Add a contact from Customers or + Someone new for others on the project.
- Choose Send by: Email, Text message, or Email + text.
- Edit the Subject (email) and Message. The starter message is filled in with shortcodes.
- Under Also include tick Before/after picture, Total and What’s included as you like. The proposal link is always included.
- Decide on Follow up automatically if they don’t sign. See the follow-up article.
- Tap Send for signature (or Send now). A message says how many contacts it went to and whether any failed.
Shortcodes
Write once, and VisionScaper fills in the details. Type a code in curly braces, for example “Hi {customer_first_name}”. Available: {customer_name}, {customer_first_name}, {customer_address}, {customer_town}, {project_name}, {quote_number}, {quote_total}, {deposit_amount}, {quote_link}, {valid_until}, {company_name}, {contractor_name}, {contractor_phone}, {contractor_email}, {month}, {today}. Codes are not case sensitive. A code with no value is sent as written, and a warning lists those.
What the customer sees
The link opens a proposal page with your logo and business name, a status (such as “Awaiting your approval”), the before and after, Scope of work, any Optional sections with a tick box, the Total, a Payment schedule and Terms. The first time they open it the quote becomes Viewed.
To approve they:
- Tick the optional add-ons they want. The total updates.
- Type Your full name (at least 3 characters).
- Draw your signature in the box. Clear starts over.
- Tick the agreement checkbox.
- Tap Approve & sign. Or Decline and, optionally, give a reason.
What happens when they sign
- The quote becomes Signed. Add-ons change the total and the deposit.
- The customer’s stage becomes Customer.
- Scheduled follow-ups are cancelled.
- You are alerted and a line is added to the project conversation.
- A deposit invoice is created. If it was sent and online payments are ready, the customer goes straight to pay it.
- The customer gets a “Signed” email with a record copy.
- The page shows who signed, when, the signature, the IP address and a document fingerprint.
A declined quote cancels the follow-ups too and tells you the reason.
Tips
- Use Preview first to see it as the customer will.
- Copy customer link only works after the quote is sent.
- A signed quote cannot be edited.
If something goes wrong
- “This proposal has expired or was withdrawn.” The date passed or you withdrew it. Send it again.
- “This proposal changed while you were signing.” Ask them to reload.
- Too many attempts. Signing is limited per hour per address.
