Job profit: estimated vs actual by job and project
See revenue, direct cost, gross profit and margin per job, with filters and a final-or-provisional label.
Job profit compares estimates with what was recorded. Money is shown only to people with the right to see money.
Where to find it
Finance & Reports → Job profit, or Field work → Job profit.
Steps
- Open Job profit. The date range starts as the last 30 days.
- Filter by From, To, Customer, Employee, Crew, Service and Status.
- Read the tiles: Revenue invoiced, Actual direct cost, Gross profit, Labor hours, Materials (recorded), Over labor budget, Missing cost info, Final (all costs approved).
- Tap Over labor budget, Missing cost info or Final to list those jobs.
- Tap any job row to open it. Columns are Job, Status, Hours (actual / est), Direct cost, Revenue, Gross profit and Numbers.
- A second table lists Projects (signed quotes) in the range.
What “Final” and “Provisional” mean
- Final: every cost on the job is approved.
- Provisional: some time is unapproved or revenue is not invoiced yet.
- No data: not enough to work out.
Small notes name what is missing: No estimate, Time not approved yet, Labor without a cost rate, Material costs pending, No price or invoice, Timer running.
How it is counted
Labor is recorded time times each person’s cost rate. Materials are those used on the job or bought for it (a setting in Field work → Settings), counting only lines with a known cost. Revenue is invoices, or the agreed price when none exists. Overhead is a separate line, shown only if you turned it on. Bills tied to the job count once, as described in “Supplier bills”.
On a single job
Open the job in Field work and expand 💲 Job costing for estimated, actual and variance by labor hours, labor cost, materials and direct cost, plus “Gross profit so far”.
Tips
- Set each person’s cost rate in the Team tab so labor is priced.
- Approve hours so numbers become final.
If something goes wrong
- “Not enough data yet.” Record time or materials and check the date range.
- Labor without a cost rate. Set rates in Field work → Team.
