Review and approve hours worked

Check each person's weekly hours, fix entries with a reason, and approve, send back or reopen a week.

Time that your crew records is grouped by week. You review it, fix problems and approve it. Approved time becomes final in job costing and is the only time that can be exported for payroll.

Where to find it

Field work → Hours worked. You need the right to approve hours.

Steps: approve a week

  1. Open Hours worked. The header shows the week, total paid hours, hours on jobs and, if you can see money, labor cost.
  2. Use ‹ and › to change the week.
  3. Look at Waiting for approval at the top. Tap a person to open their week.
  4. Check each day. Entries marked “auto-closed” or “needs end time” need your eye.
  5. Tap ✔ Approve, or tap ↩ Send back and write what needs fixing (they see it).

Each person row shows paid hours, hours on jobs, entry count, clocked-in status, flags and a status: Not submitted, Waiting, Approved or Sent back.

Steps: correct an entry or add missed time

  1. Open the person’s week and tap an entry, or tap + Add missed time.
  2. Change Start, End, Activity or Job.
  3. Type a reason. It is required and kept with the change.
  4. Tap Save correction or Add time.

To remove an entry, use the remove button and give a reason (a very recent entry needs none).

Reopen

On an approved, submitted or sent-back week, Reopen asks “Why reopen this week?” and keeps the answer in the history.

Tips

  • A Changes list at the bottom of each week lists who changed what.
  • Locked weeks cannot be edited by the employee. A submitted week is locked for them until a manager acts.
  • If a timer is forgotten, it closes at the person’s last known action, never a guess, and is flagged for review. You choose how many hours that takes in Field work → Settings.

If something goes wrong

  • “This week is approved and locked.” Reopen it first.
  • Labor shows “unpriced”. The person has no cost rate. Set one in the Team tab.
