Create an invoice

Step by step: start a new invoice, pick the customer and type, add lines, and save it as a draft.

This article takes you from a blank form to a saved draft. Sending is a separate step: see “Send an invoice”.

Before you start

  • The customer must already be in your Customers list. You cannot save an invoice without one.
  • If you want customers to pay online, connect Stripe first. See “Connect your Stripe account”.

Steps

  1. In the Hub, open Invoices, then tap New invoice. A window called New invoice opens. On the right is a live preview.
  2. Under Customer, start typing the customer’s name, phone or address. Pick them from the list. Their email and phone show under the box.
  3. Choose a Type: Deposit, Progress, Final, Recurring / maintenance or Other.
  4. Type a Title, for example “Spring clean-up – final payment”.
  5. Check the Invoice date and the Due date. The due date starts from your default number of days. You can tap a quick chip to change it. See “Due dates and terms”.
  6. Under Lines, fill in the first line: Item or service, Quantity and Rate. Add more with + Add line. See “Line items, discounts and fields”.
  7. Check the totals under the lines. They show Subtotal, Discount (if any), Tax (if any) and Total.
  8. Tap Save draft.

The invoice now appears in your list with the status Draft.

Starting from a quote

If an invoice belongs to a quote, the customer box is locked to that quote’s customer. Invoices made from a quote also count against the quote total. The code will not let the invoices for one quote add up to more than the quote total plus signed change orders.

Tips

  • Watch the live preview while you type. It is drawn by the server and matches the real page.
  • Leave Details blank on a line unless you want a note printed under it.
  • Use Save draft often. A draft can be changed freely.
  • A line with no name is ignored when you save.

If something goes wrong

  • “Choose the customer (type their name and pick it from the list).” You typed a name but did not pick it. Tap the match in the dropdown.
  • Nothing shows in the preview. The preview is optional and can fail quietly. Save the draft and reopen it.
  • The form is greyed out. Paid and voided invoices are read only. You can still copy the link or print them.
