Line items, discounts and custom fields
Add services and lines, apply a discount, and add notes, custom fields and terms to one invoice.
Everything here is set inside the New invoice window (or when you open an invoice).
Lines
Each line has:
- Item or service, Quantity, Rate, and an amount that is quantity times rate.
- Unit (for example “hr” or “sq ft”), if the Unit column is switched on in Invoice design.
- Service date, if the Date column is switched on.
- Details (optional), a note shown under the line.
- Taxable, a box that only appears when a sales tax rate is set.
Use the ↑ button to move a line up and the × button to remove one. If you remove every line, a blank one comes back.
Add service
Tap 🧩 Add service to use one of your service templates, or copy lines from a previous job or quote.
- A template line shows a small note such as “template v2”.
- If the template has a billing frequency, the Repeats setting fills in for you.
- If the template has no default price, you are told to enter the rate.
- Lines copied from a quote come in with no amount. Enter the amounts for the invoice.
Discount
Under the lines, set Discount: type a number and choose $ or %. Add a Discount label such as “Loyal customer discount”. The discount shows on the invoice and cuts the taxable amount in proportion.
Custom fields, notes and terms
Open ➕ Custom fields, notes, payment instructions & terms:
- Custom fields: tap + Add a field (PO number, job site, work order…). Give a label and a value.
- Notes: anything the customer should know.
- How to pay: for example who to make checks out to.
- Terms: payment terms.
- Thank-you message.
Leave a box empty and your default from Invoice design is used. The default shows as grey text in the box.
Tips
- Put the PO number in a custom field if a business customer asks for one.
- Keep line names short. Put the long text in Details.
- A custom field you want on every invoice belongs in Settings, not here. See “Design your invoice”.
If something goes wrong
- The Taxable box is missing. Set Sales tax % above it first.
- Totals look off. A percent discount takes a share of the subtotal. A dollar discount can never be more than the subtotal.
- A section does not show for the customer. Check that it is switched on in Invoice design.
