Sales tax on invoices
Set a default tax rate, mark lines taxable or not, and see how discounts and tax are worked out.
VisionScaper adds one sales tax line to an invoice. It does not look up rates for you. You type the rate.
Where the tax rate lives
- Default rate for invoices: Settings โ ๐งพ Invoice design โ Default content โ Default sales tax %.
- Rate on one invoice: the Sales tax % box in the invoice editor.
- Rate on quotes: Settings โ Costs & markups โ Sales tax (%) and Tax applies to. The hint there says to use your state’s rate and check with your accountant.
The rate can be 0 to 30.
Steps
- Set Default sales tax % once in Invoice design and save.
- On a new invoice the rate fills in from your default. Change it if this job is different.
- Add your lines. When a rate is set, each line gets a Taxable box.
- Untick Taxable for lines that should not be taxed.
- Check the Tax row in the totals.
How the numbers work
- Subtotal is the total of all lines.
- A discount is taken off.
- Tax is figured only on the taxable lines, after the discount is shared across them in proportion.
- The tax is rounded to the cent and added.
The invoice page shows “Sales tax (x%)” as its own row.
Tips
- If a quote is signed, its total already includes tax. Invoices made from the payment schedule carry no extra tax line.
- Ask your accountant which of your services are taxable. VisionScaper does not decide that.
- In the Profit and loss report, sales tax is not counted as money in.
If something goes wrong
- No Taxable box. The rate is 0. Enter a rate first.
- QuickBooks totals do not match. The sync checks totals and parks the invoice under Needs your review if they differ.
- Xero. Sales tax goes across as its own line so totals match to the cent. Matching it to Xero tax rates is for your bookkeeper.
