Record payments, void invoices and refunds
Mark an invoice paid when you got cash or a check, void a wrong invoice, and know how refunds work.
Online payments mark an invoice paid by themselves. Money you collect any other way, you record.
Mark an invoice paid in the Hub
- Open the invoice. Open the ⋯ list if the buttons are tucked away.
- Tap 💰 Mark paid. The button shows for Sent invoices and for invoices with a bank payment clearing.
- A box asks “Paid how?” and suggests cash, check number or Venmo. Type how it was paid.
- Confirm. The invoice becomes Paid and the activity log records the method.
Record a payment on the phone
The phone app can record cash, check or other payments, including partial ones. The server enforces these rules:
- The method must be cash, check or other.
- The amount cannot be more than the balance.
- A payment date cannot be in the future or more than 400 days back.
- Retrying the same request will not save it twice.
- When the recorded payments add up to the invoice amount, the invoice becomes Paid. A deposit invoice then moves its quote to “Deposit paid”.
A part-paid invoice shows Part paid. (The exact phone-app screen names are not verified in this web code.)
The double-payment guard
If you have already recorded a cash or check payment on an invoice, the online pay link will not charge the full amount again. The customer sees a message to contact you. The same guard stops autopay. If a customer pays online and a payment was recorded by hand, you get a “Possible double payment” alert.
Void an invoice
- Open the invoice and tap Void (in the ⋯ list).
- Write why. A few words are required.
- Confirm. The status becomes Voided and the reason stays in the activity log.
A voided invoice is not deleted. It never counts as income in the Profit and loss report. QuickBooks and Xero are told it was voided, not deleted.
Refunds
VisionScaper has no refund button. What the code says:
- Card payments: “Refunds are made in your Stripe dashboard. Voiding a record here does not send money back.”
- Use the Stripe link under Settings → Get paid online (Open my Stripe account) to reach your dashboard.
- Refunds are not counted in the Profit and loss report.
After you refund in Stripe, record the matching change in your own books.
Tips
- Always say how it was paid so your books are clear.
- Void, do not delete. The history helps if there is a dispute.
If something goes wrong
- “A payment of $X was already recorded.” You tried to pay online in full after a partial record. Ask the customer to pay the balance another way.
- Mark paid is missing. The invoice may be a draft, already paid or voided.
