Unpaid invoices and late reminders

See who owes you by age, drill into one customer, send a reminder or an emailed statement.

This screen answers one question: who still owes me, and for how long?

Open it

  1. In the Hub, open Invoices.
  2. Tap 💵 Unpaid invoices. (The menu also lists it under Finance & Reports.)

What you see

At the top, Owed to you shows the total. Under it are tiles that group the money by how late it is:

Tile Meaning
Current Not past due yet
1-30 days late
31-60 days late
61-90 days late
90+ days late

Each tile shows the dollar total and the number of invoices. Tap a tile to show only the customers in that group. Tap it again to clear the filter.

Below the tiles, each customer owing money is a row with their open invoices and, if late, the oldest invoice’s days late. The note under the heading says a bank payment on its way is not counted until it clears.

Look at one customer

Tap a customer. A window lists each open invoice with its number, title, due date or “x days late”, last reminder date and balance.

Remind

Tap 🔔 Remind beside an invoice to send a reminder now. It is greyed out if a reminder went out recently. The wait between reminders is 24 hours unless the owner changed it. Each action carries a unique key, so a double tap cannot send twice.

Send statement

Tap 📄 Send statement to email the customer a statement. It lists their open invoices with due dates and days late, the total due, and payments received in the last 90 days. A pay link is included for each invoice. A statement can go once per 24 hours by default. The customer needs an email address on their record.

If the customer has autopay on, the window says so.

Only the late ones

When opened from a late filter, a line says “Showing only invoices that are late.” Tap Show everyone who owes you to see all.

Tips

  • Work the 61-90 and 90+ tiles first.
  • Use a statement when a customer has several open invoices.
  • The automatic plan already sends reminders. Use Remind for a nudge now.

If something goes wrong

  • “Nobody owes you anything right now.” Good news, or all invoices are drafts.
  • Remind is greyed out. A reminder was sent too recently. Wait for the gap to pass.
  • “needs an email address to receive a statement.” Add one to the customer.
