Deposits and payment schedules

Set a deposit when a quote is signed, a default payment schedule, and how invoices are made from it.

A payment schedule splits a job’s price into payments, for example a deposit when the customer signs and the balance when you finish.

Set your defaults

  1. Go to Settings. In Prices and quotes, open Costs & markups. Set Deposit when signed (%). (The starting value in the plugin is a placeholder, not approved.)
  2. Open Terms & payments. Under Default payment schedule, edit the rows. Each row has a label, a percent and a “when” line, for example “Deposit to schedule … when you sign” and “Balance … on completion”.
  3. Tap + Add payment for extra rows, such as a progress payment. Tap the × to remove one.
  4. Tap Save.

Change it on one quote

In the quote editor, find Payment schedule. Edit the label, percent and “when” text. Once a quote is locked, the rows are read only. + Add payment adds a row (“Partial payment”).

What happens when a customer signs

  • The proposal tells the customer they can sign and pay the deposit to get on the schedule.
  • A deposit invoice can be made for you when the quote is signed. By default it is saved as a draft. The owner can choose to have it sent automatically. That choice is a setting in the phone app and its API (the label is not verified in this web code).
  • Look in Invoices for it. Check it and tap Save & send if it is still a draft.
  • When the deposit invoice is paid, the quote’s job shows Deposit paid – ready to schedule.

Progress and final invoices

Make the next invoice yourself in Invoices → New invoice, with Type Progress or Final. The phone app can also bill by percent complete and make invoices from the schedule’s stages (screen names not verified in this web code).

The safety rule

The invoices for one quote can never add up to more than the quote total plus signed change orders. The editor, the schedule and the phone app all follow this rule. A quote’s total already includes sales tax, so schedule invoices carry no second tax line.

Tips

  • Keep percents adding up to 100.
  • Voiding a stage invoice lets that stage be billed again.

If something goes wrong

  • No deposit invoice appeared. The deposit may be 0, or an invoice for it already exists.
  • The customer cannot pay the deposit online. Your pay link needs a ready Stripe account. See “Connect your Stripe account”.
