How messaging works in VisionScaper

A map of texts, email, the inbox and the settings screens, and who sets up what.

VisionScaper sends and receives texts and emails for your business. Some parts are set up once by the person who runs the website. Other parts are yours to change any time. This article shows which is which.

Two kinds of setup

Site administrator (WordPress admin). These screens live under Settings in the WordPress admin menu:

Screen What it holds
Settings → VisionScaper Your Twilio Account SID, Auth Token, phone number and optional Messaging Service SID
Settings → VisionScaper Messaging Text service (Twilio or Telnyx), email service (Resend, SendGrid, Amazon SES), safety switches, monthly limits, message packs, and approval of “Get ready to text” requests
Settings → VisionScaper Marketing Postmark or the site’s own mail, sender address, the Postmark webhook, missed-call numbers, cost and sending speed
Settings → VisionScaper AI Receptionist Voice service keys and phone-call settings (see the AI Receptionist articles)

You, in the Contractor Hub.

Where What you do
Messages (Inbox) Read and answer conversations with customers and members

How a message is sent

  1. Something triggers it: a booking, an invoice, a campaign or an automation.
  2. VisionScaper checks the safety rules. It will not send if the person opted out, texting is not approved yet, the site kill switch is on, or a monthly limit is reached.
  3. It picks the channel and sends it through the text or email service you chose.
  4. The result (sent, delivered, failed, bounced) comes back through a webhook and is saved on the customer.

Before anything sends

  • Texts need a working text service. See “Set up Twilio for texting” or “Set up Telnyx for texting”.
  • Email needs a sender address and an email service. See “Set up your email service”.
  • In the US, text messages need carrier registration. See “Get ready to text (A2P 10DLC)”.

Tips

  • If your site has plans, some features (quick replies, AI features, texts) depend on your plan. A locked screen tells you so.
  • Prices, allowances and message packs shown in the code are placeholders and not approved. Ask the site owner for the real ones.

If something goes wrong

  • A message did not go out: open the customer’s Conversations thread or the Marketing page. A held message shows the reason in plain words, for example “They asked not to be contacted”.
  • Nothing sends at all: a banner “Messaging is switched off for this whole site” means the kill switch is on. Only the site administrator can turn it off.
