Edit message templates and alerts
Change the wording, channels and timing of every automatic customer message and alert to you.
Every automatic message VisionScaper sends is pre-written. You can rewrite any of them in your own words.
Steps
- Go to Settings → Messages & alerts.
- Messages are grouped. The groups include Requests, Appointments, Jobs & payments, Messages, 🔔 Alerts to you, Field operations and Purchasing. Examples: Request received (auto-reply), Appointment reminder, On our way, Job complete, Invoice sent, Invoice overdue nudge, Payment received (receipt), Review request, New quote request, Proposal viewed, Proposal signed.
- Each row shows when it is sent and which channels are on (✉️ email, 💬 text, 🔔 in-app), or Off. Click a row to edit.
- Tick Send this message automatically (for alerts: Send me this alert).
- Under Send by, tick ✉️ Email, 💬 Text or 🔔 In-app.
- Edit Email subject, Email (and in-app) message and Text message (short version).
- Watch the preview on the right. It uses sample details.
- Click Save. Click 📨 Send me a test to receive it yourself. Reset to the original puts the first wording back.
Insert customer details
Open 🔖 Insert a detail and tap a chip to add it where you were typing. Use the search box to find one. Write “Hi {customer_first_name}” and Jane sees “Hi Jane”. Add a fallback after a bar for when a detail is missing: {customer_first_name|there}.
Details include customer name and phone, appointment date and time, invoice amount and link, company name and the like. An unknown detail shows in red in the preview and is left out when sent. A warning lists it.
Text length
Under the text box you see the character count and about how many texts it will be. “The opt-out line is added automatically”, which means “Reply STOP to opt out.” is added for you.
Timing
Some messages show a ⏱️ Timing box, for example review requests: Days after the job is marked done. Invoice nudges use Days after the due date, Then every (days) and At most (times). Click Save timing. Appointment reminders are timed in Settings → Reminders.
Quiet hours for alerts to you
On a text alert to you, set 🌙 Quiet hours for texts to you: “No texts from … to …”. Click Save quiet hours. The code default is 9 pm to 8 am.
Tips
- A Customized label marks messages you have changed.
- If texting is not set up, or not in your plan, a note says text versions are saved but not sent.
- Messages tied to a customer thread are also posted in your message thread with them.
If something goes wrong
- A test did not arrive: check the channels ticked and that your own email or phone is on your profile.
- Text is too long: shorten it so it is fewer texts.
