Customers, schedule and dispatch on the phone
Search customers, add leads with a duplicate check, view the calendar, dispatch and reschedule jobs, and plan a route from the phone.
Office roles (owner, managers) get Clients and Work places in the app. The website decides what each person may see or change. The app only hides buttons. The website refuses anyway.
Before you start
- The website plugin must be new enough to serve these screens. An older plugin makes the app behave like its first version.
- Customer, lead, schedule and route changes need a connection. They are not saved in the offline outbox.
Clients
- Search as you type, filter by stage, and use “show more” for more results.
- Search everything looks across customers, property addresses, jobs, and quotes by number or title.
- A customer page shows contact details, call, text, email and directions buttons, notes, properties (gate, pets, irrigation, utilities, best time, maintenance), visits and quotes. Quotes show names and status. Amounts stay in the Hub unless the person may see money.
- Edits to a customer, notes or a property carry the version the phone read. If someone else changed it first, the website refuses and the app reloads it. Nothing is overwritten.
Who sees which customers
| Permission | Effect |
|---|---|
| See every customer | All customers. Without it, only customers on jobs you are assigned to, plus leads you added |
| Edit customers and properties | Change them |
| Add leads | Create a new lead |
| Phone numbers and emails, private notes, budget | Each has its own permission. A hidden field also cannot be searched |
Steps: add a new lead
- Open Clients and start a new lead.
- Enter the details.
- Before saving, the website checks for a duplicate: same phone, same email, same address, or same name plus town.
- If it finds matches, choose “add to this customer” or “new customer”. Nothing is merged automatically.
A retried save returns the same lead instead of making a second one.
Work: the schedule
- View Day, Week or Month. Office roles can switch between Everyone and Just me. Time off is listed on the day.
- Office roles tap a visit to open Dispatch.
Steps: dispatch a job
- Tap the visit.
- Choose the people.
- Change the day, start and end with the big minus and plus buttons.
- Watch the conflicts appear live: double-booked, time off, not a working day, or outside hours.
- Save. Conflicts are warnings. Going ahead needs a written reason, which is saved on the job’s history.
A person who is switched off can never be assigned. If someone already moved or reassigned the job, your change is refused rather than overwriting theirs.
Repeating jobs
When you change or skip a repeating job, choose just this one, this and later, or all upcoming. Finished, cancelled and already-started visits are left alone, and the app says how many. Tell the customer sends one notice for the next upcoming visit.
Route (per person, per day)
Plan best order asks the website. Drive minutes show only when Google (with a server key set) or your own OSRM server actually measured them. Without either, the order is a straight-line estimate and the screen says “Estimate only” with no minutes. Stops with no saved map point are listed as left out, never guessed. Saving an order stores it.
Field tools
Door to door, Measure, Landscape plans and the Route planner are separate permissions (canvass, measure, plans view, planner). Measurements are worked out by the website from the points the phone traces. Areas over 40 acres, lines over 20,000 ft and points more than 3 miles from the property are refused as mistakes. Plans on the phone show shapes only, never prices. “Show me: Simple” hides several of these tools until you switch them on.
If something goes wrong
- “Nothing happens when I save”: you may be offline. These changes need a connection.
- A save is refused after you waited: someone else changed it first. Reopen it and try again.
