Customer messages, field triggers and voice notes on the phone
Approve the messages your automations prepare, set field triggers, and dictate job notes with optional AI summaries.
The Contractor Hub prepares customer messages from your automations. The phone does not write to customers by itself. It lets a person look at what was prepared and say yes or no.
Who can use it
The permission is “Approve messages…” (owners and managers by default; leaders and crew no). The website refuses crew even if they ask directly.
Steps: approve messages
- On Today, open Messages to customers.
- Review the messages set to “ask me first”. Approve or reject each.
- Review follow-ups for sent quotes and due or late invoices. Choose send reminder now. Only one reminder per 24 hours goes out unless you choose Send anyway.
- Review review requests and referral asks.
Everything here needs a connection. A message is never queued on the phone. A retried tap uses the same code, so the customer is never messaged twice. Customer messages follow the same consent, quiet-hours and opt-out rules as all other messages.
Field triggers
A field trigger is a rule you set: when a field event happens, do something.
- Events: job finished, needs a return visit, issue reported, expense approved, task overdue.
- Actions: make a task, alert the managers, or message the customer.
- A customer message from a trigger is prepared “ask me first” by default.
- Each event fires at most once.
Voice notes
Each job has a Job note card.
1. Tap the box and dictate with your keyboard’s microphone, or type.
2. Save it as a note. It saves even with no signal or if the AI is off.
3. If the site owner switched on Voice-note summaries in Settings → VisionScaper, tap Summarise. You see a summary and suggested notes, issues, tasks and materials without prices.
4. Each suggestion is saved only when you tap it, using the text you edited.
The phone sends only text. The AI uses your fal.ai key and is capped at 200 summaries a day per business. The AI never changes a price and never saves anything itself.
Tips
- Keep triggers to a few. A trigger that messages customers still goes through the approval queue by default.
- Voice notes are a time saver for crew leaders. The owner must switch the feature on.
If something goes wrong
- No Summarise button: the site owner has not switched on Voice-note summaries, or the daily limit was reached.
- A message did not go: it may be waiting for approval, or blocked by quiet hours, consent or an opt-out. See [faq-messaging].
