Settings → Follow-up plan: every field explained
Field-by-field guide to the default follow-up plan used every time you send a quote.
Where to find it: Contractor Hub → Settings & Integrations → Settings → group Prices and quotes → tab Follow-up plan. This is a contractor (owner) screen.
What it controls: the default set of follow-up messages VisionScaper schedules each time you send a quote. Dates are counted from the day you send the quote. The screen opens already filled with a six-message plan.
Before you start
- Email works with no extra setup.
- Texts only go out if the site owner has added Twilio. If not, the Send by list shows “Text (not set up)”. See
get-twilio-details.
The default plan (placeholder timings, not approved; set your own)
| # | Day | Time | Send by | Subject |
|---|---|---|---|---|
| 1 | 1 | 10:00 | Your {project_name} proposal from {company_name} | |
| 2 | 3 | 17:30 | Text | (none) |
| 3 | 7 | 10:00 | Picturing your new {project_name} | |
| 4 | 14 | 12:00 | Text | (none) |
| 5 | 21 | 10:00 | Want to adjust {project_name}? | |
| 6 | 30 | 10:00 | Both | Should I close your file? |
Fields (each follow-up has its own set)
| Field (exact label) | What it does for VisionScaper | What to enter and example | Default / notes |
|---|---|---|---|
| Follow-up N (checkbox) | Switches this one follow-up on or off. Off hides its other fields and leaves it out of the saved plan. | Untick to skip it. | On. |
Remove (button) |
Deletes this follow-up row from the plan on screen. | Click, then save. | Nothing is saved until you save the plan. |
Date |
Sets when this follow-up goes out. On save VisionScaper stores it as a number of days after the send day (counted from today’s date on this screen). | Pick a date. Example: a week from today. | Day shown beside the title (“day 3”). |
Time |
Time of day it goes out, in your local time. | 10:00 | See the table above. |
Send by |
Chooses Email, Text or Both for this message. | Pick one. | If texting is not set up, the Text and Both choices say “(not set up)”. |
To |
Who gets it. In Settings the only choice is “Everyone I send it to”, because no customer is chosen yet. | Leave as is. | Everyone I send it to. |
Subject |
The email subject line. Not used for a text-only message. | Example: Checking in about {project_name} | Filled from the plan. |
Message |
The body of the email or text. Shortcodes in curly braces are filled in per customer. | Keep one clear call to action. | Filled from the plan. |
| Attach: Proposal link | Adds the link where the customer views and signs the quote. | Tick it. | Ticked on messages 1, 2, 3, 4, 5, 6. |
| Attach: Before/after picture | Adds the design picture. | Tick it. | Ticked on message 3 only. |
| Attach: Total | Adds the quote total. | Tick it. | Ticked on messages 1 and 5. |
| Attach: What’s included | Adds the scope list. | Tick it. | Ticked on message 3 only. |
+ Add follow-up |
Adds a new row 7 days after the last one at 10:00, by email, with a short “checking in” message and the proposal link attached. | Click, then edit it. | |
Save as my default plan |
Saves the whole plan to your settings (followups). It is then used for every quote you send. |
Click once when happy. | The toast says “Saved.” |
Reset to the recommended plan |
Clears your saved plan (saves an empty list) and redraws the screen with the recommended six-message plan. | Click if you want to start over. | It saves immediately. |

Steps
- Open Contractor Hub → Settings & Integrations → Settings, choose Prices and quotes, then the Follow-up plan tab.
- Read each follow-up. Untick any you do not want.
- Change Date and Time if the rhythm is wrong for you.
- Choose Send by for each. Use text sparingly.
- Edit Subject and Message. Click inside the box, then tap shortcodes to insert them.
- Tick the Attach boxes you want.
- Click + Add follow-up if you need another.
- Click Save as my default plan and wait for “Saved.”
Tips
- One message, one call to action.
- When you send a quote you can still change that quote’s follow-ups. This screen only sets the default.
- An outstanding subscription payment can hold follow-ups. See
settings-plan-usage-and-credits.
If something goes wrong
- Text says “(not set up)”: the site owner must add Twilio first.
- Your changes vanished: you did not click Save as my default plan.
- After Reset the old plan still shows: reload the tab. Whether the screen redraws from the saved list is not verified in code.
- A message shows a literal {code}: the code is misspelled or has no value for that customer.
