Connecting Xero

Send customers, invoices and payments one-way to Xero by pasting a Client ID and secret and choosing account codes.

The Xero card sends data one way, from VisionScaper to Xero. It is owner-only and appears under Settings → Connected apps in the Contractor Hub. Your plan must include it (plan assignment is a placeholder).

Before you start

  • A Xero organisation and a developer app (type: web app) at developer.xero.com. Follow Xero’s current instructions.

Steps

  1. In Xero’s developer area, create an app.
  2. Add the redirect address shown on the VisionScaper card.
  3. Copy the Client ID and Client secret.
  4. In VisionScaper, paste them under Client ID and Client secret, then press Save keys. The secret is stored scrambled and never shown again.
  5. Press Connect to Xero, sign in, and choose your organisation.
  6. Enter Xero account for sales (Xero’s usual one is 200).
  7. Enter Xero bank account for payments. This is needed before payments can be sent.
  8. Press Look up my Xero accounts to pick from lists.
  9. Tick what to send: Send customers, Send payments, and Send automatically every hour.
  10. Press Save settings, then Send to Xero now.

What to know

  • Existing Xero customers and invoices with the same name or number are adopted, not duplicated.
  • Sales tax goes across as its own line.
  • A record Xero turns down is set aside with Xero’s reason. After you fix it, press Try again after fixing.
  • Disconnect keeps the links, so reconnecting never sends twice. Nothing in Xero is deleted.
  • Manual sending is limited. The docs state 60 per hour.
  • Nothing is read back from Xero, and Xero webhooks are not built.

Tips

  • If you manage several organisations, use the Xero organisation drop-down. Records already sent to another organisation are not resent.
  • Xero charges for its own plan. VisionScaper adds no fee.

If something goes wrong

  • “Xero needs you to sign in again. Nothing is being sent until you do.” Press Reconnect.
  • Payments will not send: add the bank account code.
  • Not tested against a live Xero account. Try on a test organisation first.
