Troubleshooting: texts not sending and emails going to spam

Work through why texts are not sent or received, and why emails land in spam or never arrive.

Texts and emails pass through several gates. Work through them in order.

A. Texts are not sending

  1. Is texting set up? Under Settings → VisionScaper, the Text messages (Twilio) section needs the Account SID, Auth Token and phone number (or Messaging Service SID). On Settings → VisionScaper Messaging, Text service can be Twilio or Telnyx. Follow each provider’s current sign-up instructions.
  2. Is the business registered? US carriers require A2P 10DLC registration. Texts are blocked until it is approved. If the owner ticked “Only let a business text after its “Get ready to text” details are approved”, the business must submit its details and the owner marks it Approved by carriers on the Messaging page.
  3. Is the kill switch on? The Messaging page has Stop all texts and emails on this site (kill switch).
  4. Is there a monthly cap? Most texts per business per month (0 = no limit).
  5. Does the plan include texts? Text messages are a plan feature. Check the Entitlements page (see [entitlements-admin-page]).
  6. Failed payment? In the restricted stage, automatic follow-up texts pause. Appointment reminders keep going.
  7. Quiet hours. The default holds texts before 8 am and after 9 pm in the customer’s local time. A reminder that would land overnight is sent at 8 pm the evening before.
  8. Opted out. If the customer texted STOP they will not get texts. They can text START.
  9. Timing. Follow-ups go out through WP-Cron, about every 5 minutes. On a quiet site set a real cron job to call wp-cron.php.

B. Replies are not showing

In the provider’s console, set the number’s incoming-message webhook to the address shown under Settings → VisionScaper → Text messages (Twilio) (HTTP POST). Replies are then logged in the customer record and emailed to the contractor. For Telnyx the Messaging page shows its own webhook address.

C. Emails go to spam or never arrive

Site emails (sign-up notices, receipts, password resets)

These use your site’s own email by default. Install and set up an SMTP plugin or service so they are properly sent. The launch checklist lists this as a step you do before launch.

Marketing and bulk emails

  1. Open Settings → VisionScaper Marketing and Settings → VisionScaper Messaging. Choose an email service: Postmark (the recommended one on the Marketing page), Resend, SendGrid or Amazon SES. Paste its keys and webhook secret.
  2. Use a verified sender or domain with your provider.
  3. Add the DNS records your provider gives you. For Postmark, DKIM and Return-Path records. Also publish a DMARC record. The page says Gmail and Yahoo require it for bulk mail.
  4. In the Contractor Hub’s messaging settings, run the email check. It looks up SPF, DKIM and DMARC for your sending domain and tells you which is missing. Each missing item has a hint, for example: add a TXT record on _dmarc.yourdomain with v=DMARC1; p=none; rua=mailto:you@yourdomain.
  5. The owner may require the email check to pass before a business can send marketing email.
  6. Every marketing email carries who you are, a real mailing address and a way to opt out.

If someone marks an email as spam or it hard bounces, that contact is marked and removed from future sends.

Tips

  • Send a test to your own Gmail and check where it lands.
  • Ask customers to add your sending address to their contacts.
  • If “No sender email is set up yet”, the site administrator sets it in Settings → VisionScaper Marketing.

If something goes wrong

  • Texts still blocked: your carrier registration may be pending. Wait for the provider’s approval.
  • Emails still in spam: check all three DNS records show as present, then give it time. Sending reputation builds slowly.
