Automatic text replies and the AI notice

Set HELP, after-hours, keyword and urgent-word replies, and decide whether the AI says it is an AI.

Marketing → Safety → 🤖 Auto-replies decides what happens when a customer texts you. STOP is always honored at once. Replies from automatic helpers are labelled in the inbox.

Steps

  1. Go to Marketing → Safety and find 🤖 Auto-replies.
  2. Answer HELP: sends your business name, phone and “Reply STOP to opt out.” On by default.
  3. After-hours reply: sent once when someone texts while you are closed. Edit What it says. Use {business} for your name. Set Open on days and the hours from and to. Default: Monday to Friday, 8 to 5.
  4. Your own keywords: click + Add a keyword. When a customer texts exactly that word, they get your reply. STOP, HELP, START and YES can’t be used.
  5. Words that mean “urgent”: a text with one of these is flagged for a person. The customer is told to call 911 if anyone is in danger. Defaults: flood, fire, tree on the house, downed tree, gas leak, injury.
  6. Click Save auto-replies.

Built-in answers

Customers can text these words and get an answer:

  • HOURS: your hours.
  • QUOTE, ESTIMATE, PRICE: “We’ll text you shortly to set up a free visit and quote.”
  • STATUS, WHEN, ETA: their next visit, or an offer to set one up.
  • CALL ME, PERSON, HUMAN: the customer gets “Thanks. Someone from the team will reach out soon.”
  • C or R: confirm or reschedule a visit.

Tell people it’s an AI

Under 🪪 Telling people it’s an AI, the switch The AI assistant says it is an AI in its first reply starts ON. To turn it off you must read a warning and tick a box to confirm you have checked the laws that apply to you. The confirmation is saved.

Whatever you choose, the assistant never pretends to be a person. If someone asks “are you a bot?”, it says it is your business’s AI assistant and offers a real person. This cannot be switched off.

Missed-call text-back

If the site administrator has assigned you a VisionScaper phone number, you can turn on Text back missed calls in Marketing → Settings → 📞 Missed-call text-back. Enter Ring this phone, an optional Greeting, and tick Take voicemails. Calls ring your phone. If nobody answers, the caller can leave a voicemail and gets a text right away.

Tips

  • Keep the after-hours reply short and honest about when you will answer.
  • Add a keyword for your most common question, like PRICING or SERVICE AREA.

If something goes wrong

  • A keyword never fires: it must match exactly, and cannot be a reserved word.
  • No missed-call text-back: you need an assigned number, or the feature is not offered on this site.
