Checklists and field forms for your crew

Build checklists with tasks, questions, numbers and required photos, attach them to jobs, and see how crews complete them.

A checklist is a set of tasks, questions, measurements and required photos your crew completes on the phone. Required items must be done before a job can be finished.

Where to find it

Field work → Checklists. You need the right to create checklists, or to see every job.

Steps: build one

  1. Tap + New checklist.
  2. Type a Name, for example “Mowing closeout”.
  3. Tap + Add item for each item and type what to do or ask.
  4. Choose a Type for each item. The types come from the website. Types seen in the crew app are task (a tick box), yes or no, choice, number, text and photo.
  5. Set the options per item:
    – Required.
    – Photo: No photo, Photo optional or Photo required.
    – Note: No note, Note optional or Note required.
    – For number items, a Unit such as ft or bags.
    – For choice items, Choices, separated by commas.
  6. Use the arrows to reorder, and the remove button to delete an item.
  7. To show an item only sometimes, use “Only if … is”: pick an earlier yes/no or choice item and its answer. Default is Always show.
  8. Under Use it on, tick Every job, or pick kinds of visits and service templates.
  9. Tap Save checklist.

The list shows item count, required count, where it applies and the version, such as “v2”.

Versions

Saving makes a new version for jobs that have not started it. Jobs already in progress or finished keep the version they had. Archived shows retired ones. Archiving says “Jobs keep it.”

What the crew does

On a job card, ☑️ Checklists shows progress such as “2/5 required”. Each item has its input, a camera button, and a note. If something cannot be done, the crew can mark it with a reason, and a manager sees it.

If a required item is missing

Tapping ✔ Finish job shows Not finished yet with These are still required:. Managers with the override right can type a reason and tap Finish anyway. The reason is saved on the job.

Tips

  • A service template can also carry its own simple Service checklist of ticks.
  • Unfinished checklists appear on the Today tab.

If something goes wrong

  • Crew do not see it. Attach it to the right visit kind or service.
  • Edits not showing on a started job. The job keeps its old version.
