Company library: how-tos and policies your team must agree to

Publish how-tos and policies, ask chosen people to read and agree by a date, and see who is behind.

The library keeps your how-tos and policies in one place. A document can require some or all of your people to read it and agree.

Where to find it

Hub left menu, group Team & Training, then Company library. No plan restriction is set for it in the code.

Steps: publish a document

  1. Tap New document. If the library is empty it says “Write your first document: a safety rule, a how-to, or a policy.”
  2. Enter a title and a category, for example Safety.
  3. Write the text.
  4. Under Who must read and agree, choose Everyone on the team, Some roles (Crew, Crew leaders, Managers) or Named people. Or choose no agreement (“Nobody has to agree to this one”).
  5. Set Days to do it.
  6. Add a Note for the first version (optional).
  7. Tap Save as draft, or publish.

Changing a document

Tap Edit and publish a new version. Write What changed? (people see it). Everyone who agreed to the old version is asked to agree again. Version history is kept.

Seeing who agreed

  • Who has agreed (version N) lists people and dates.
  • Policies not yet read shows who is late and how many Days late.
  • Use Send reminders now. A reminder also goes out each week to people who have not agreed by the date. If training reminders are paused, the screen says so.
  • Tap Download list to save the list.

What employees see

Employees see Waiting for me to agree and Please read this, then confirm. Their button is I have read this and I agree. The record stores which version and when.

Note: “I agree” here is a record that the person read it. It is not a legal signature.

Tips

  • Use the search box and Policies only filter to find a policy fast.
  • Put each rule in its own short document so a change does not re-ask people about everything.

If something goes wrong

  • Nobody is asked. Check the “Who must agree” choice.
  • Reminders are not going. They are paused in Training settings.
