Inventory: low stock, reorder drafts and spreadsheet import
Make draft purchase orders from low stock, release set-aside stock, and import or export your list as a CSV.
Low stock and reorders
An item appears on the Low tab when what is available is at or below its reorder level and it is not already on an open order. Set the level when you add or edit an item. “0 = never warn.”
Steps
- Open Inventory → Low.
- Tap Reorder this on one item, or Make draft orders for everything low.
- The result gives one draft order per supplier and a list of Left out items with the reason. An item with no supplier shows “No supplier yet. Edit the item to set one.”
- Tap Open Materials to check and send. Nothing is sent to anyone by this step.
Set-aside stock
On the Set aside tab each hold shows quantity, the visit or quote it is for and how much was used. Tap Release to put it back as free stock.
Import and export
Tap Import / export.
Export. Tap Download my stock list to get a CSV.
Import. Choose a CSV (600 KB at most) or paste rows. The first line must be column names. The screen lists: name, sku, unit, cost, supplier, reorder_point, reorder_qty, location, qty.
- Tap Check the file. It shows how many are new, how many will update, and any lines with a problem.
- If any line has a problem, nothing is imported. Fix and check again.
- Tap Import.
“qty” is what is counted at “location”, so importing the same file twice changes nothing.
Tips
- Export first to get the right column layout, edit it, then import.
- Ignored columns are named in the check result.
If something goes wrong
- “That file is too big.” Split it under 600 KB.
- “Choose a file or paste the rows first.” The box is empty.
- Import button is greyed. It turns on only after a clean check.
