Vendors: your supplier list and terms

Add and archive vendors with contact details, payment terms and your account number.

A vendor is a supplier you buy from. The list feeds purchase orders, supplier bills and inventory.

Where to find it

At the bottom of Materials & purchases, in a card called Vendors. You need the right to create and approve purchase orders.

Steps: add a vendor

  1. Open Materials & purchases and find the Vendors card.
  2. Tap + New vendor.
  3. Fill in:
    – Name
    – Contact person
    – Email (orders go here)
    – Phone
    – Terms, for example a Net 30 choice
    – Our account number with them
    – Notes
  4. Tap Save.

Edit or archive

Tap a vendor to edit. An edit warns you if someone else changed the vendor first. The archive action says “Vendor archived. Its purchase orders stay.” and gives you an undo.

Why terms matter

In Supplier bills, the due date of a bill is worked out from the vendor’s terms when you leave it blank. The code reads text like “Net 15” as 15 days, “due on receipt” or “COD” as 0 days, and anything else as 30 days.

Tips

  • Put the email where orders should go. That email gets the purchase order.
  • You can add a new supplier by name right inside the Supplier bills form.
  • If no vendors exist the card shows an empty-state prompt.

If something goes wrong

  • “Someone changed this.” Close the window and open the vendor again.
  • A vendor disappeared. It was archived. Its history stays on old orders.
