Supplier bills: enter, approve and record payments

Track what suppliers bill you, approve bills, record payments, and see how approved bills count in job cost.

Enter each bill a supplier sends you. Approved bills count toward the job’s cost. VisionScaper only records payments you already made. It never sends money.

Where to find it

Finance & Reports → Supplier bills. This is a plan feature (which plans is not verified here). The owner and managers can enter, approve and pay.

Steps: enter a bill

  1. Open Supplier bills and tap Enter a bill.
  2. Choose a Supplier, or + A new supplier.
  3. Type Bill number exactly as printed. The same supplier and number cannot be entered twice, unless the first was voided.
  4. Set Bill date and Due date. Blank due date comes from the vendor’s terms.
  5. Optional: choose a Purchase order and a Job.
  6. Add Lines: description with quantity and price each, or just an amount. Add Tax on the bill.
  7. Tap Save as draft, or Save and approve.

Approve and pay

  1. Open a draft and tap Approve.
  2. When approved, Record a payment: amount, how, date and a reference such as a check number.
  3. The bill goes Draft, Approved, Part paid, Paid. Void bill needs a reason, and a payment can be voided with a reason too.

The list

Tiles show Left to pay, Past due and the next days of Due in N days. Filters: To pay, Past due, Due soon, Drafts, Paid, All. Search by supplier, number or note.

How bills count in job cost

  • A bill tied to a purchase order replaces the order’s “received” value. It is never added on top.
  • A bill tied only to a job is a direct cost of that job.
  • Only approved, part-paid and paid bills count, at approval time.
  • Drafts and voided bills never count.

Tips

  • An approved bill cannot be edited. Void it (while nothing is paid) and enter it again.
  • The owner can turn on “different people enter and approve”. It only applies while another approver exists, so a small shop is never locked out.

If something goes wrong

  • Approve is greyed out. A different person must approve this bill (your setting).
  • Duplicate error. That supplier and number already exist.
