The customer portal (My Projects) and the look of proposals
What a customer sees in their portal, what they can do there, and how to put your brand color on proposals and invoices.
A customer with a VisionScaper account sees their work with you in My Projects. It reads from the Hub every time and keeps no copy. A customer without an account uses the private links in your emails and texts.
What the customer sees
The portal shows only what you have chosen to show. It has no costs, internal notes, crew names, drafts, or other customers’ records.
| Block | What is in it |
|---|---|
| Quotes | Quotes you sent, with the scope of each section, total, “good until” date, and a View proposal link. A request they sent shows as Requested |
| Visits | Upcoming and past visits of the kinds a customer knows (consult, site visit, estimate, job, maintenance, follow-up). No internal titles, crew names or notes |
| Invoices | Number, title, amount, balance, status, due date and a Pay online link when a balance is open |
| Photos | Job photos you have marked as shared with the customer |
| Autopay | Whether automatic payment is on and where this customer stands |
| Referral | A personal link to your request form |
Their other tools include My Calendar and My Property.
What the customer can do
- Sign a quote you sent them. They approve and sign inside the portal, the same as on the link.
- Ask for more work. The request lands as a lead on the customer record they already have. It does not create a new customer. They can add best times.
- Share their personal referral link. A friend who uses it becomes a normal new lead with the source “referral”. The reward text comes from your marketing settings.
- Review the work after a job, with an optional photo.
Steps: see what a customer sees
- Open the quote and use Preview, or More and Preview what the customer sees.
- Open the customer page. A “VisionScaper” mark by the name means they have an account.
Steps: put your brand color on customer pages
- Open Settings and the tab Appearance & layout (group Business).
- Choose to change the look for your business. Set your brand colors.
- Publish. The button is Publish. A check makes sure colors stay readable.
- On the card Your customers’ pages, tick “Use my brand color on proposals, invoices and other pages my customers see”.
Only your brand color carries over, adjusted so it stays readable in light and dark. Your internal layout never changes what customers see. It shows once the business look is published. If you untick it, “Customer pages use the standard look.”
Your logo and business name show on the proposal page header, and contact details appear under the name. Add them in Business profile.
Tips
- Add a clear logo and phone first.
- Check a proposal on your own phone before sending a big one.
If something goes wrong
- Brand color does not show. The business look must be published, and the box ticked.
- Customer cannot see a quote. Drafts and requests do not show a link. Send it first.
- Customer sees an old photo list. Only photos marked shared appear.
