Service templates

Save each service once with scope, price method, materials and checklist, then reuse it on quotes, visits and invoices.

A service template is a saved set of defaults for one service: what it is, how it is priced, what is included, and what the crew checks off. Open Services in Customers & Sales (subtitle “Reusable service templates & job profit”).

The screen

Tabs: Templates, Archived, and Job profit (only if you may see costs). Search “Search services”. Templates are grouped by category (Lawn care, Cleanups, Beds & mulch, Planting, Pruning, Hardscape & grading, Lawn renovation and others). Each row shows price, duration and crew size, billing, months offered and “used N×”. A star marks a default for its category.

Starter services come with scope and checklists but no prices. You add them.

Steps: create a template

  1. Tap New service. (You need the right to edit templates.)
  2. Fill Service name, Category and Description.
  3. Under Pricing method choose one: Flat rate, Hourly, Per unit, Tiered by size (price for each size band) or Time & materials. Leave the default price blank to price each job as you add it.
  4. Set Billing frequency: One-time, Per visit, Weekly, Every 2 weeks, Monthly or Seasonal contract.
  5. Enter Estimated duration (hours) and Crew size, or labor hours per unit for per-unit services.
  6. Add Materials (name, quantity, unit cost), Equipment, Scope of work, Included tasks and Excluded tasks (one per line; excluded show as “Not included”).
  7. Add a Completion checklist and Employee instructions (crew sheet — no prices).
  8. Optionally set Months offered, Preferred days, Book at least (days ahead), and Book a follow-up visit after (days).
  9. Optionally write Customer messages: a booking confirmation, a reminder before the visit, and a message when the visit is marked Done.
  10. Add a Change note if editing, then Save template (or Save as new version).

Other buttons on a row

  • Version history (clock icon). See the next article.
  • Make default for [category] (star).
  • Duplicate template (copies as “name (copy)”).
  • Archive. A template never used can be deleted for good, otherwise it is archived. Restore brings an archived one back.

Using a template on a quote

On a quote tap Add service. You can use a template, duplicate a previous job, or start from scratch. The template prefills the section. Changes you make then affect only that job. A section shows “from [name] template v[n]”. Buttons on the section: Save as template, Update template, Unlink. Quantity can be filled from a property measurement when the template’s unit allows it.

Tips

  • Costs, markup and suppliers are for the office. The crew sheet never shows prices.
  • Crew members need the right to see or use templates.

If something goes wrong

  • No “New service” button. You lack the right to edit templates.
  • Template has no price. Quote shows “This template has no price — set the section price.”
