Landscape maintenance and lawn care software for crews

Plan each crew’s day and route, repeat weekly visits, send recurring invoices, keep equipment serviced and keep customers informed, with a simple phone app for the crews.

Built for maintenance routes. Not a chemical application logger.

Maintenance

What maintenance companies need to run smoothly

Mowing and maintenance live on repetition. These are the parts of VisionScaper that support it.

Repeating visits

Set a visit to repeat weekly, every 2 weeks or monthly for a number of visits or until a date.

Route order

Put the day’s stops in a sensible order and print the sheet.

Recurring invoices

Repeat an invoice on a weekly to yearly cycle.

Customer messages

Reminders, on-our-way notes and weather delay texts.

Crew app

Today, hours worked and training on a phone.

Equipment care

Hours, miles and maintenance reminders per machine.

Plan each crew’s day and route

Start with the schedule. In the visit form, new visits of weekly, every-2-weeks, monthly or per-visit services can repeat: choose Every week, Every 2 weeks or Every month, then how many more visits or an end date. Visits outside a service’s season are skipped. A service template also holds the billing frequency (per visit, weekly, every 2 weeks, monthly or seasonal contract), the months offered, crew size and duration.

When you move or skip one stop in a repeating series, the phone app asks whether the change is for just this one, this and later visits, or all upcoming. Finished, cancelled and already-started visits are left alone. Read more on scheduling.

In the Route planner, pick the day and crew, set where you leave from, and pull the day’s jobs from your calendar with minutes on site. Up to eight stops are tested in every order, and longer days use a fast method that gives a good, not guaranteed best, order. You can add fuel and trailer details, a lunch stop, a fixed meeting stop, then open the route in Google Maps or print it. Drive minutes appear only when Google or your own routing server measured them, otherwise the order is an estimate and says so. See the route planner.

Keep equipment serviced

Add each mower, trimmer and truck. VisionScaper fills in the usual tasks for the type, such as oil, blades, grease, filters, belts and tires, each due after hours or miles, days, or whichever comes first. Type a new meter reading, mark a task done with cost and date, and the next due point is scheduled.

Cards show Due, Soon or OK. An optional daily reminder goes by email, text or both, and can ask for fresh readings.

Recurring invoices and payments

Make your starting invoice look the way you want every copy to look, then set Repeats: every week, every 2 weeks, every month, every 3 months, every year or a custom number of days, weeks, months or years. A service template with a billing frequency fills this in for you.

On each cycle the next copy gets the next invoice number, is marked sent and is emailed to the customer, and its reminders start fresh. Customers can pay online through your Stripe account, and autopay, if the site owner turns it on, charges a saved card or bank account on the due date. Void the latest invoice to stop a chain. Check the customer’s email first, because copies go out automatically. More on recurring invoices.

Tell customers what is happening

Appointment reminders go out on the schedule you set, and customers can reply C to confirm or R to reschedule. Messages such as on our way and job complete are pre-written and editable. A weather delay notice can text everyone booked on one day in a single send, and marketing automations can remind customers when a repeating service is due again or a season opens.

Texting needs a text provider and, in the US, carrier registration. See texting customers. Crews use the crew app to see the day’s stops, directions and notes, and to clock in.

What VisionScaper does not do (chemical application tracking)

VisionScaper does not track chemical, fertilizer or pesticide applications, product records or spray logs. If you apply products and must keep those records, keep them in a tool made for that. VisionScaper handles the visits, routes, crews, messages and billing around that work.

Some features depend on your plan, including supplier bills, inventory and texting. See the pricing page for what each plan includes.
