Texting & Email

Landscaping text message and email software

Text and email customers from one inbox, with consent records, STOP handling, quick replies and automatic appointment reminders. You choose your own text and email providers.

Texting in the US needs carrier registration, which the app walks you through. This is not legal advice.

Two-way texting from your business number

Replies from customers land in Marketing, Conversations, next to the texts you send. Filter by All, Unread, Needs a person or Mine, search a name or number, and answer from the box under the thread. A private note stays with your team and is never sent, and you can assign a conversation to yourself or a teammate.

A text from a number you do not know becomes a new lead. If a weather delay hits, you can pick a day, write one message, see who would get it and who is skipped, then send it to everyone booked. Conversations also connect to the customer record, so see customers and inbox for the rest of the CRM.

Texts go out through your own Twilio or Telnyx account. The person who runs your website sets that up once, and the provider’s charges are separate.

Getting ready to text: A2P 10DLC registration explained

In the US, mobile carriers want to know who sends business texts. A2P 10DLC is the carrier registration for that. VisionScaper’s Get ready to text form, under Marketing, Safety, takes about five minutes and has three steps. Have your legal business name, 9-digit tax ID (EIN), website, street address and a reachable email ready.

Step 1 is your business details. Step 2 is your texts: what you will text about, a sentence or two on how customers agree to texts, and a sample text that includes Reply STOP to opt out. Step 3 is review and send. Only the last four digits of your EIN are shown afterwards. Carriers usually answer in a few days, and your status changes to Approved, or to Needs changes with the reason so you can fix it and send again.

VisionScaper records your details, and the site administrator records the carriers’ answer. You should also register with your text provider, such as Twilio, using its own process. Until approval, carriers can block your texts.

  • Your sample text must say Reply STOP to opt out

Email providers and checking your sender

Email can go through Postmark, your website’s own mail, Resend, SendGrid or Amazon SES. The administrator picks one for the whole site. Postmark is recommended for marketing email, while the site’s own mail suits testing and small lists because it has no bounce handling.

VisionScaper adds its own unsubscribe link and the one-click unsubscribe header. The Email sender check then looks for the three DNS records inboxes trust: SPF, DKIM and DMARC. It shows what is found and what is missing, with advice for each.

Quick replies and message templates

Quick replies are short answers you save once, like I can come out on Thursday, and drop into any message with the lightning-bolt button. Write {customer_first_name} and it fills in the name.

Every automatic message is pre-written and editable under Settings, Messages and alerts: request received, appointment reminder, on our way, job complete, invoice sent, payment received, review request and more. For each one you choose email, text or in-app, edit the wording, preview it with sample details and send yourself a test. The opt-out line is added to texts for you. Texting depends on your plan.

Automatic reminders and the AI notice

Under Settings, Reminders, you set as many appointment reminders as you like, such as one a day before and one a couple of hours before, by email, text or in-app, for all appointment types or only some. Texts never go out between 9 pm and 8 am. A reminder that would land overnight is sent at 8 pm the evening before. Customers can reply C to confirm or R to reschedule, and you are alerted.

Auto-replies cover HELP, an after-hours reply, your own keywords and urgent words like flood or gas leak, which flag a conversation for a person. The AI receptionist and marketing campaigns and automations use the same do-not-contact list.

If an AI assistant answers texts, its notice that it is an AI is on by default. Turning it off asks you to confirm you checked the laws that apply to you. The assistant never pretends to be a person.

Questions about texting customers

Carriers expect it, and unregistered business texts can be blocked. The Get ready to text form collects the details, and your provider has its own registration step too.

Your own text provider account (Twilio or Telnyx) and your own email provider. VisionScaper sends through them and records the results on the customer.

No. Consent cannot come from a purchased or borrowed list, and VisionScaper refuses it.

They are marked do-not-contact at once, waiting marketing messages are cancelled and their thread stays so you keep the history.

The registration steps and consent wording here are written for US carriers. Ask us through the contact page about other countries.
