Self-booking: let visitors pick a visit time

Offer open visit times on your request form, choose who can be booked, and decide whether times confirm automatically.

Self-booking is an option on the request form. A visitor picks a day and a time for a visit. It stays a request until your office confirms it, unless you turn on automatic confirmation.

How open times are worked out

VisionScaper looks at the working hours of the people you allow, their time off, and the jobs and visits they are already assigned to. A time is offered only when a chosen person is free. When a visitor picks a time, VisionScaper holds that person at that time, so two visitors cannot take the same person at the same time.

Steps: turn it on

  1. Open Settings, group Messages and connections, tab Connected apps.
  2. In Request form for your website, make sure the form is on.
  3. Under Self-booking (optional) tick “Let visitors pick a time”.
  4. Set Visit length (minutes). The field accepts 15 to 240.
  5. Under Who can be booked tick the people.
  6. Decide on “Confirm picked times automatically (off is safer)”.
  7. Tap Save.

Make sure those people have working hours set under Crew, team & hours, or no times will be offered.

What the visitor sees

A section called “Pick a time for a visit (we will confirm it)” shows a Day drop-down and a row of times. Times are for the next 14 days.

What happens after they send

  • In both cases a visit titled “Estimate visit” with the visitor’s name is placed on the chosen person’s calendar. Its note reads “Requested on the website form. Confirm or decline in Requests.” (or “Booked on the website form.” when auto-confirmed).
  • Not auto-confirm: the visitor gets “Thank you! We received your request for [time]. We will confirm it shortly.” Your office is told to confirm or decline the time.
  • Auto-confirm: the visitor gets “You’re booked! Your visit is confirmed for [time].”
  • If you confirm later the customer is told “Your visit is confirmed”. If you decline, they are told, and the held time is released.

Where you confirm or decline

The requests list for confirming or declining a picked time is a phone-app route (named “mobile/requests”, with confirm and decline actions). A Hub screen for it was not found in the Hub code. (Not verified in code: check the phone app for the confirm and decline buttons.) The Needs you list and the Quotes Requests filter show new requests.

Tips

  • Keep auto-confirm off until you trust your hours.
  • A shorter visit length offers more times.

If something goes wrong

  • No times are offered. The people you chose have no working hours, are on time off, or are fully booked.
  • Two people booked at once. This should not happen. A unique hold stops it.
