The Quotes list and the one-button “next step”

Read quote statuses, filter the list, and use the status line and the single main button on each quote.

Open Quotes in the Customers & Sales group. Its subtitle is “Estimates, proposals & requests”. In VisionScaper a quote, an estimate and a proposal are the same record at different moments. You build the estimate, the customer reads and signs the proposal.

The list

Filter chips: All, Requests, Drafts, Sent & viewed, Signed, Declined, Expired. A search box reads “Search title or number”. Each row shows a thumbnail, the title, number, customer, how long ago it changed, a status label, the total, and a job status when signed.

Status Meaning
Request A customer asked for a quote. Nothing priced yet
Draft You are building it. Not sent
Sent Sent to the customer
Viewed The customer opened it
Signed The customer approved it. It is now a job
Declined The customer said no
Expired The “good until” date passed

Two buttons sit at the top: New quote and Sales board. If you have no quotes yet you see “No quotes yet” and Start a quote. If the Requests filter is empty it says no new requests.

The status line and the main button

Open a quote. At the top is a line of seven steps: Request, Quote, Won, Scheduled, Done, Invoiced, Paid. The current step is marked and done steps have a tick. Under it is a short hint and one main button. Next to it a More drop-down holds other moves.

Where the quote is Main button
Request Build the quote
Draft, empty Build the quote
Draft, built Send quote
Sent or viewed Send reminder
Expired Send it again
Declined Start a new quote
Signed, no visit Schedule it
Signed, visit but no crew Suggest times
Signed, crew set Start job
Job started Mark done
Done Invoice it
Invoiced Send invoice or Send reminder

More can offer: Duplicate, Copy customer link, Mark as declined, Withdraw (back to draft), Delete, Copy as job change, Cancel the job…, Start without scheduling…, Invoice before the job is done…, Invoice something else, and Preview what the customer sees.

Safeguards

  • Steps cannot be skipped by going around the buttons. A job needs a signed quote, and a final invoice needs a done job.
  • Some moves ask for a reason first (cancel, start unscheduled, invoice early). A decline asks for an optional one. Marking a job done asks you to confirm, because the customer is told and it cannot be undone.
  • If the quote changed while you were looking, you are told “This changed while you were looking. It was reloaded.”
  • A signed quote cannot be deleted. It is kept as your record. Deleting a draft shows an Undo bar for a few seconds.

Tips

  • Use the main button rather than hunting for options. It is the next sensible move.
  • Use Duplicate to reuse a similar quote.

If something goes wrong

  • No Send button. The quote has nothing in it yet. Build it first.
  • A move is missing from More. Your role may not be allowed to do it.
