Build a quote step by step

Choose a customer, add services or sections, check the job cost, write the proposal and save a draft.

A quote screen has three cards: 1. Customer & property, 2. The design (before & after) and 3. Estimate → two quotes. “Two quotes” means one set of numbers gives you two views: the Job cost (internal) that only you see, and the Customer proposal.

Steps

  1. Tap New quote (Quotes, Today, or + New). You can also start from a customer’s page.
  2. In card 1 tap Choose customer. Type a name, phone or address. Or tap + New customer (full details). If the customer has several properties, pick one under Property.
  3. Type the Project name, for example “Front Yard Renovation”.
  4. In card 2 add a Before photo and Design picture, or tap Use one of my designs to bring in a design from VisionScaper. See “From a design to a quote”.
  5. In card 3 choose how to start:
    – Add service: pick a template, copy a past job, or start from scratch.
    – Create Quote Manually (or + Add another section).
    – Quote it with AI. See the AI Quoter article.
    – Use the Landscape plan’s quantities (shown when the property has a plan).
  6. Switch to Job cost (internal). Each section lists lines with Type, Item, Qty, Unit, Unit cost and Cost. Types are Material, Labor, Equipment, Subcontractor, Disposal, Delivery, Other. Add a line with + Add line.
  7. Check the Price box on each section. Type your own number to override the calculated one. reset brings the calculated price back.
  8. Use Optional add-on to let the customer pick a section on the proposal. Untick Include to leave a section out. Arrows move a section up.
  9. Enter a Discount $ if you want one.
  10. Switch to Customer proposal. Write the Introduction, then the scope of work for each section, one item per line. Choose Show prices: price for each section, or total only.
  11. Tap Save. A customer must be chosen first or you are asked to choose one.

The totals bar

It shows Your cost, Price, Gross profit with percent (red when under 25%), Tax, Customer total, Deposit and Crew hours. If your minimum job charge raised the price, a note says by how much.

Extras

  • Polish wording with AI rewrites titles and the intro. It never changes quantities or prices. If the AI changes a number, that section is kept as you wrote it.
  • Preview shows what the customer will see.
  • A signed quote is locked. Use Copy as job change for changes.

Tips

  • Work in the Job cost tab first, then read the Customer proposal.
  • Rows highlighted as needing a price or quantity mean a number is missing. Fill it before sending.
  • Be specific in the scope. Anything not listed is not included.

If something goes wrong

  • “Choose a customer first.” Pick or add one.
  • Totals look low. Check Qty, Unit cost and the labor rate under Costs & markups.
  • Cannot edit. The quote is signed.
