The Price book
Enter your supplier prices and production rates once; every automatic quantity takeoff and AI draft uses them.
On this page
The Price book holds your costs for materials and your production rates. Every number feeds the automatic estimate: the plan takeoff and the AI Quoter both read it. Find it in Settings, group Prices and quotes, tab Price book. The menu item Pricing in Customers & Sales opens the Costs & markups tab, which sits right beside it.
Warning: The numbers VisionScaper ships with are placeholder starting values, not approved and not your prices. Replace them with your own supplier prices and your crew’s real speeds before you send quotes.
What is in it
Each entry is a collapsible block. The blocks are: Mulch, Decorative stone, New bed (turf removal and soil prep), Edging, Sod, Seed, Pavers, Gravel path, Retaining wall, Plants, Removals, Boulders, Landscape lighting, Fence, Grading, Delivery, and Final cleanup.
Inside a block you see only the numbers. The labels you will meet are:
| Label | Meaning |
|---|---|
| Cost per unit ($) | What you pay per yard, ton, pallet and so on |
| Waste / overage (%) | Extra bought to cover settling and cuts |
| Hours per unit | Labor hours per unit |
| Prep hours per 100 sq ft | Bed preparation labor |
| Cost per sq ft ($), Hours per sq ft | For area-priced work |
| Cost per block ($), Cost per cap ($), Hours per face sq ft | Walls |
| Fixture cost ($), Transformer cost ($) | Lighting |
Pairs of numbers, such as steel edging “3.25, 0.06”, are cost per foot and hours per foot, in that order.
Steps
- Open Settings, then the group Prices and quotes, then the tab Price book.
- Open a block, for example Mulch.
- Type your Cost per unit ($), your waste percent and the hours per unit.
- Repeat for the blocks you actually sell.
- Tap Save price book.
To go back to the shipped values tap Reset to defaults and confirm. The question is “Reset the whole price book to VisionScaper defaults?”.
How it is used
- Plan takeoff: shape areas times these rates give quantities and costs.
- AI Quoter: the AI lists work and sizes only. The price book prices them.
- Service templates: have their own prices. The price book does not override a template.
Tips
- Start with the five you sell most: mulch, stone, edging, sod and pavers.
- Check delivery: it sets the cost per load and how many cubic yards a load holds.
- Update it each season when your supplier changes prices.
If something goes wrong
- A line needs a price. An item with no price in the book is flagged on the quote. Add a price in the book or on the line.
- Numbers did not change on an old quote. A saved quote keeps its numbers. Rebuild it from the plan to pick up new prices.
