Purchase orders: order, send, receive and close
Make a purchase order from a job's material list or by hand, email it to the vendor, receive deliveries and close it.
A purchase order (PO) lists what you are buying from a vendor. Receiving records what arrived. The result feeds each job’s material cost.
Where to find it
Finance & Reports → Materials & purchases, or Field work → Purchases in the owner view. You need the right to create and approve POs, or to receive deliveries (receivers do not see prices).
Statuses
Draft, Sent, Partly received, Received, Billed, Closed, Voided.
Steps: make an order
- Add a vendor first (see “Vendors”). Without one the screen says “Add a vendor first.”
- Tap + New purchase order.
- Pick the Vendor.
- Under For job (its material list is used) pick a won job to copy its material lines. Or leave No job (by hand) and type each line: item, qty, unit and unit cost. Use + line to add more.
- Tap Create draft.
Steps: send it
- Open the order and tap Send to vendor.
- The vendor is emailed if the vendor has an email address. Otherwise the order is marked sent and the screen tells you nothing was emailed.
Steps: receive a delivery
- Open the order and tap Receive a delivery.
- Enter the quantity that arrived on each line. Receiving more than ordered needs a reason in the Why extra? box. A short line needs Why short?.
- Tick That is everything (short lines need a reason) if the order is complete.
- Tap Save delivery.
The phone app can also attach a photo of the delivery ticket.
Close or void
- Close finishes an order.
- Void purchase order asks why. Voiding is logged.
Tips
- The Deliveries list shows who received what and when.
- Use the status filter (default Open) to find old orders.
- Draft orders can also come from low stock in Inventory.
If something goes wrong
- Vendor not emailed. The vendor has no email. Add one in Vendors.
- Cannot receive extra. Type a reason in “Why extra?”.
