Inventory: items, places, counts and moves

Track stock in the shop and trucks, count and move items, and set stock aside for a job.

Inventory tracks mulch, stone, plants, fittings and tools: how many you have, where, and when to reorder. Every change is a new line in a history that is never edited.

Where to find it

Hub left menu, group Schedule & Field, then Inventory. It is a plan feature (which plans is not verified). You need the right to manage or receive purchases to see it.

Steps: set up

  1. Open the Places tab and tap Add a place. Give it a name and a kind: Shop or yard, Truck or trailer, or Other. Add at least one before counting anything.
  2. Go to Stock and tap Add item. Fill in Name, Code (optional), Unit, What it costs you per unit ($), Supplier, Reorder when available is at or below, Order this many and Usually kept at.
  3. In How many do you have now? type your starting amount. It is saved as a count.

Don’t want to type names? Use Or start from names you already use on jobs and orders and tick items.

Steps: day to day

On an item you have:
– Count / change: choose I counted — this is how many there are, or Add or remove this many. Pick a reason and add a note (needed for “Other”).
– Move: from one place to another. Needs two places.
– Set aside: hold some for a job or quote. It stays in the truck but no longer counts as free.
– Edit and History.

Tabs

Stock, Low, Set aside, Not enough recorded and Places. The Stock tab shows on-hand, available, on order and stock value at your cost, with filters All, Low, On order and OK.

Tips

  • Material used on a job is taken from the job’s own material record, so cost is not counted twice.
  • On the Places tab the owner can allow stock to go below zero. When off, a count that would go negative is refused.
  • If a job used more than you recorded, the job is not blocked. The gap is listed under Not enough recorded.

If something goes wrong

  • “Add a place first.” The Places tab needs at least one place.
  • “You need two places to move stock.” Add another place.
