Phone app dispatch: assign, move jobs and keep a route order

What dispatchers can do from the phone app: calendar feed, conflict checks with override, repeating-series edits and saved route order.

The website offers the phone app a set of “dispatch” calls. This article explains what they do, from the code. The exact button names inside the phone app are not in this code, so they are not given here.

Who can use it

Anyone whose role has the rights. Seeing all jobs needs “See every job”. A person without it sees only their own jobs.

What it does

Calendar feed. The phone gets a day, week or month feed with each job’s assignees, people’s availability and time off.

Assign or reschedule one job. The app first checks for conflicts. Conflict kinds are:
– overlap with another job,
– time off,
– day off,
– outside the person’s hours,
– inactive person (this one blocks and cannot be overridden).

If the first four kinds exist, nothing is applied until the dispatcher sends again with an override and a short reason. The reason is required and logged on the job timeline. If someone else changed the job meanwhile, the change is refused and the app should reload.

Repeating visits. For a repeating series the dispatcher chooses this one, this and following, or the whole series. The server reports what would change, checks conflicts across all of it, and never touches finished jobs.

Route order for a day. For one person and day the app can see stops in the saved order, ask for a suggested order, and save the chosen order. Drive times are shown only when a routing service (Google or OSRM) gave them. Otherwise the app gets an estimate flag instead of invented minutes. Saved minutes are stored only when the suggestion’s signature matches.

Customer notice. A “notify” option tells the customer. Employees are told when their schedule changes, unless you turned that off in Field work → Settings.

Same rules as the website

Moves and assignments use the same save path as the website, so customer notices, reminders and the job timeline behave the same everywhere.

Tips

  • Use the web Assign crew tab for planning, and the phone for quick fixes on site.
  • Pair this with the Route planner for the best order.
  • Every override is recorded, so you can see who scheduled over a conflict.

If something goes wrong

  • “Add a short reason to schedule over these conflicts.” Type a reason and send again.
  • Message says the job “moved or been reassigned”. Reload and try again.
