Two-way text conversations

Answer customer texts in Marketing → Conversations, add notes, assign a thread and send a weather delay notice.

Marketing → 💬 Conversations is your text inbox. Replies from customers land here, and so do the texts you send.

Steps

  1. Go to Marketing → Conversations.
  2. Pick a filter: All, Unread, Needs a person or Mine. Use Search name or number to find someone.
  3. Click a conversation. Each message shows who wrote it (you, a team member, or an automatic helper), the time, and “website chat” if it came from your chat box.
  4. Type in the box under the thread and click Send text. Below the box VisionScaper counts characters and how many texts it will be. Special characters make each text shorter.
  5. Use the buttons under the box:
    – 💬 Saved replies: pick a saved reply to drop in. Under New saved reply, give it a Name and Text and click Save reply.
    – 📝 Private note: only your team sees it. It is never sent.
    – 🙋 Assign to me / ↩️ Unassign.
  6. Use Do not contact… to mark someone do-not-contact, or Delete this conversation.

Badges you will see

  • N new: unread messages.
  • 🙋 Needs a person: a customer asked for a person, or an urgent word was found.
  • → name: assigned to a team member.

If a text cannot be sent

The box is disabled and a yellow note gives the reason, for example texting is not approved yet or the person opted out. If a website chat is open with this customer, the box says Reply in chat and your answer goes into the chat.

Weather delay notice

At the bottom, 🌧️ Weather delay notice… texts everyone booked on one day.

  1. Pick the Day.
  2. Write What to say.
  3. Click See who would get it. You see the count and who is skipped and why.
  4. Click Send.

Delete and do-not-contact

Delete this conversation removes all messages and notes with that customer for good. Their do-not-contact entry stays, because that is what keeps the promise not to message them. Do not contact… cancels waiting messages, and is recorded. To put someone back, you must confirm that they asked you to.

Tips

  • Quiet hours apply to marketing and automated texts, but a reply to something a customer just sent is not held.
  • Replies you send are logged on the customer.

If something goes wrong

  • Nothing shows: no one has texted yet, or the Twilio or Telnyx webhook is not set. See “Incoming message webhook addresses”.
  • A customer says STOP and still shows: STOP is honored at once. Their thread stays so you keep the history.
