Set up the AI Receptionist
The administrator adds provider keys and webhooks; you then run the six-step setup and go live.
The AI Receptionist is a phone agent. It answers calls, collects the caller’s details, books a visit and passes emergencies to a person. It can also make calling campaigns. Setup has two parts.
Part 1: the site administrator
Go to Settings → VisionScaper AI Receptionist in WordPress.
- Copy the webhook address at the top:
…/receptionist/webhook/ENGINE, where ENGINE isretell, vapiorbland. Give it to the voice service you use. Also copy the phone number’s voice address (…/receptionist/voice). - Under Keys, fill in (a blank box keeps a saved value):
– For Retell AI, Vapi or Bland: API key, webhook secret and phone address (SIP).
– ElevenLabs key, Cartesia key, Deepgram key, Telnyx key. - Under Prices (placeholders – set your own): cost per minute per service (cents), Margin on top (%), Overage after plan and packs (0 = stop instead), Hard monthly limit per business ($; 0 = none) and minute packs. All values are placeholders, not approved.
- Minutes in each plan, and the AI Receptionist switch, are set on the VisionScaper Plans page.
- Under Privacy and safety: Keep transcripts and recording links for (days; 0 = forever), Hide phone numbers and emails in saved transcripts, and the Kill switch to stop all calling and campaigns at once.
- Save.
The services: Retell AI is the default and the recommended engine. Vapi is for advanced setups. Bland is built for high-volume outbound calling. Voice layers: ElevenLabs (default), Cartesia, Deepgram. Phone carriers: Twilio (default) and Telnyx. The contractor screens show a voice-service choice. The engine and carrier use their defaults, and no screen to change them was found in the code that was checked (not verified).
Webhooks are checked: a SHA-256 HMAC of the body in the header x-ENGINE-signature, with your webhook secret. A missing secret or header always fails. The voice engines’ own signature schemes have not been verified.
Part 2: you
Open AI Receptionist (under Marketing & Growth). Only owners and managers can. If the feature is not in your plan you see “The AI Receptionist isn’t part of your plan.”
The setup has six steps:
- Your business: name, phone, state or region, country, time zone, hours each day, and After hours (assistant still answers, take a message only, or pass the call to my phone).
- Services, area and prices: services you offer, where you work, towns, and price ranges it may mention. It never gives a binding price.
- Voice and name: the assistant’s name, a voice (Ava, Noah, Grace, Owen, Sofia, Mia or My own voice), Voice service, Language, Accent, speed and warmth. Click Hear it for a sample.
- What it says: greeting (use
{business}), personality, recording notice, the AI notice, and Answers it can give (questions and answers; it answers only from this list). - What to collect and when to hand over: fields to ask every caller, urgent words, and Pass emergencies to a person right away with the number to use.
- Test call and go live: the number it answers (a Twilio number, or Get me a number by area code), who answers first (The assistant answers right away or Ring my phone first, then the assistant), then Call me to test. Click Go live.
The AI notice is on by default. Turning it off needs a confirmed warning. Whatever you choose, the assistant never claims to be a person.
Tips
- To keep your current business number, forward unanswered calls to the assistant’s number, or port the number with your phone company. Porting is not done in VisionScaper.
- If the voice service is not connected, step 6 says “The voice service isn’t connected yet.” Ask the site administrator.
If something goes wrong
- “Get me a number” fails: it buys a number from your Twilio account. Check that it is set up.
- The assistant does not answer: check the Turn it on button; the pill should read “On: answering calls”.
