AI Receptionist calls, campaigns and minutes
Review calls, run calling campaigns safely, keep the do-not-call list, and watch your monthly minutes.
On this page
Once the assistant is live, open AI Receptionist to manage it. A pill shows “● On: answering calls” or “○ Paused”. Use Pause the assistant and Turn it on to switch it.
Calls
The Calls tab lists every call. Click one to see:
- Who called, the time and length, and a summary.
- What the assistant collected (name, address, service and so on).
- A link to Listen to the recording and Read what was said.
- Buttons: Call back, Open customer, Mark callback done.
Badges show Needs a callback, Emergency – call back and Visit booked. The tab title shows how many callbacks wait.
Campaigns
Campaigns are outbound calls to a group, for a reason. The types are Past customers, Quotes awaiting an answer, Seasonal reactivation, Review requests, Appointment reminders, Gentle invoice reminders, and Custom.
- Click + New campaign and pick Who to call.
- Edit the script with the detail buttons (first name, business, service, date, amount). An example shows below.
- Pick a Goal: Book a visit, Connect them to me, or Ask whether they want to hear from us.
- Set When to call: days and hours. These are always inside your own calling hours and judged by the time where the person is.
- Set Calls per hour at most, Calls at the same time, Tries per person after the first, and a Spending limit ($, 0 = none).
- Optionally tick Leave a short voicemail if nobody answers and Send one text after the last try (only to people who agreed to texts).
- Read “N of M people can be called”. People are skipped for no permission on file, no number, or on the do-not-call list. If some lack permission, you can record it for those who really agreed. It is saved with the date, source and wording.
- Click Save campaign, then Review and start. You must tick a confirmation. Only people with permission on file, not on the do-not-call list, and inside calling hours are called.
Use Pause, Resume, Edit, Delete, or Pause all campaigns. Stats show People, Dialed, Answered, Booked, Opted out and Cost.
Safety & records
On the Safety & records tab:
- Set “Don’t call before” and “Don’t call after” hours. The code default is 8 to 9 pm. This page helps keep records and is not legal advice.
- Tick Also check the national do-not-call list (needs a checking service; if there is none, nobody is called).
- Set Most you want to spend each month ($, 0 = no limit).
- Manage the Do-not-call list and read the Record of changes.
The do-not-call list is shared with texting and email. A stop on one channel is honored on all.
Minutes
At the top you see “N of M minutes used this month”, and money spent if any. When low, a message appears with Add minutes. That opens a checkout for a pack, which is used after your plan’s minutes. If payments are not connected you see “Buying minutes isn’t available yet.” The plan minutes, pack sizes, prices, overage and hard limit are set by the administrator and the values in code are placeholders, not approved.
Tips
- Run Call me to test after changing the script.
- Check the Calls tab daily for callbacks.
If something goes wrong
- “You’ve used all your minutes”: add a pack or wait for next month.
- A campaign calls nobody: check the audience line and the calling hours.
