The Plans admin page: billing, trials and failed payments

Turn contractor billing on, set up Stripe, shape the trial and the failed-payment steps, edit plans, and manage each contractor's subscription.

Settings → VisionScaper Plans controls how contractors pay for the Contractor Hub. Contractors pay monthly or yearly. New contractors get one free trial.

Warning: the plan names, prices, allowances and which features each plan includes are unapproved placeholders. Nothing here should be treated as final until you approve it.

Before you start

  • Add your Stripe secret key under Settings → VisionScaper → Selling extra AI credits. Until you do, a warning shows and every approved contractor has full access for free.
  • You are always on the top plan for free.

Steps: set up billing

  1. Fill in the plan prices in the Plans table and click Save plans.
  2. Click Create these plans in Stripe (it shows only when a Stripe key is saved). It creates a Stripe product plus monthly and yearly prices for each plan. Or paste price IDs you made yourself into the Stripe price ID rows.
  3. In your Stripe dashboard add a webhook at the endpoint address shown on the page, with the events listed there: customer.subscription.created, customer.subscription.updated, customer.subscription.deleted, invoice.paid and invoice.payment_failed, plus checkout.session.completed.
  4. In Stripe’s customer portal settings, turn on the options the page lists (update payment methods, view invoices, switch plans, cancel at end of period).
  5. In Stripe’s revenue recovery settings, follow the page’s guidance about retries and about turning off Stripe’s own failed-payment emails, so contractors hear one voice. Follow Stripe’s current instructions for these screens.
  6. Tick Turn on contractor billing and save. Contractors approved before today get one grandfathered trial so nobody is cut off.

Page sections

  • Billing: the master switch (“On since” date shown).
  • Free trial: number of days, which plan the trial uses, and whether to require a phone number verified by text (needs Twilio; skipped if Twilio is not set up).
  • Trial allowances: AI credits and landscape plans during the trial. Every feature of the trial plan is on. Only these allowances are smaller, to protect AI cost.
  • When a payment fails: stages counted in days from the first failed payment, which you set:
    1. Day 0, notice: full access, a quiet banner, one email.
    2. Reminder: a stronger banner, another email.
    3. Restricted: everything works except what costs you money. You tick which things pause: AI, new landscape plans, buying credits or storage, large uploads, automatic follow-up texts. Appointment reminders, receipts and invoices keep going.
    4. Read-only: view, export and pay only; hidden from homeowners.
    5. Suspended: “Suspended — Payment Required”. Nothing is deleted.
    6. After a number of unpaid days it is flagged as eligible for deletion under your retention policy. Nothing is deleted automatically.
Paying at any stage restores everything instantly.
  • Fair use: an alert when an “unlimited” plan makes many landscape plans in a month. Nothing is blocked.
  • Keep data after cancelling: the minimum months shown to contractors.
  • Plans table: name, tagline, “Most popular badge”, What’s included, Not included, monthly and yearly price, Stripe price IDs, and each limit or switch. Use “unlimited” for no limit.

The Contractors list

Below the plans you see monthly recurring revenue, counts by status, trials ever and converted. Each row shows business, status, plan, trial or renewal date, last payment and notes. Owner actions each need a reason:

Action Meaning
Extend trial More trial days
Give free access (comp) / End free access Comp a contractor, or stop it
Give more time to pay (days) Extra grace
Suspend now / Restore Pause or reinstate
Grant a second trial (exception) One-time exception
Set plan Choose their plan

Tips

  • Changes to prices apply to new subscriptions at once. To change what existing subscribers pay, create a new Stripe price. Stripe keeps them on their current price until you move them.
  • Use [view-as-customer-tool] to preview each stage.

If something goes wrong

  • A red “Stripe said: …” message shows Stripe’s own error. Fix the key or the prices.
  • “Please write a reason — every exception is recorded.” Fill in the Reason box.
